About the Position

Our growing team is looking to add an experienced Administrative Coordinator to our Nashville Office. If you bring your dedication, high level of detail, and results-oriented focus, you will thrive in this dynamic role This is a newly created role in which you will be at the intersection of marketing, sales, accounting, and product development.

This role will be pivotal in ensuring the smooth operation of various departments by providing daily support, coordinating operations, and promoting process efficiency. The ideal candidate will be a self-starter, project deadline-driven, and problem solver. You must possess strong organizational skills, the ability to prioritize tasks effectively, and the confidence to hold peers and managers accountable to deadlines and expectations.

Responsibilities consist of filing, database management, managing vendor portal uploads, sample management, managing the artwork creation process flow, and maintaining critical documents and reports. A further breakdown of the duties is detailed below:

 

Duties and Responsibilities:

  • Organize and maintain electronic files, ensuring accuracy and accessibility for multiple accounts and brands. 
  • Maintains and updates the master product data management list, also known as the Master List.
  • Administer updates to the style and price list across various retailers, ensuring accuracy and consistency with the Master List.
  • Act as a liaison between the company and external vendors, managing portals efficiently to facilitate smooth communication and transactions.
  • Coordinate the handling and distribution of product samples as needed, ensuring they are tracked and accounted for.
  • Coordinate and manage artwork requests, ensuring timely completion.
  • Support and maintain presentation decks as needed for internal and external stakeholders.
  • All other duties as assigned.

 

Skills Needed:

  • At least 3-5 years of experience in an administrative role.
  • Detail-oriented with a keen eye for accuracy.
  • Self-motivated and proactive in taking the initiative to address tasks and challenges.
  • Strong ability to prioritize tasks and analyze data to make informed decisions.
  • Excellent communication skills and customer service
  • Comfortable navigating ambiguity
  • Highly adaptable to changing circumstances and requirements.
  • Confident in ensuring everyone does their part while maintaining a friendly and respectful approach.
  • Proficient in computer skills, including the Windows operating system.
  • Adept at mastering new software applications.

  • E-commerce experience
