DUTIES

  • Oversee facilities management, personnel matters, special projects, purchasing of all

supplies and equipment, file areas and systems, messenger and delivery services,

  • General Administration and Firm Procedures:
  • Oversee all aspects of the Paralegals, Secretarial Staff, Word

Processors, Receptionists and Office Services personnel at their site, with

  • Administering the Firm’s Policies and Procedures in effect at said

at Ft. Myers, Bradenton, Sarasota and Naples offices.

  • Oversee all aspects of facilities maintenance and administration at

the 4 offices.

  • Will make recommendations for related budget items, within the limits prescribed

by the Firm’s budget, for such expenditures as vendor contracts for the purchase

of necessary office supplies, kitchen supplies and equipment, furniture, fixtures,

maintenance and repair items.

  • Evaluate staff workflow and, in coordination with the Chief Operating Officer,

process position requisitions as needed for new hires, pre-screen and interview applicants.

  • Onboarding process including all paperwork needed for new hire to start, i.e., entry codes, parking passes, phone extension, voicemail extension, etc.
  • Administer annual performance reviews. If needed, in conjunction with the Chief

Operating Officer, disciplines and discharges subordinate staff.

  • Ensures that the workload of subordinate staff is equitably assigned, reassigns
  • work, when necessary, and may determine work priorities.
  • Ensures proper recording of time reports by staff members (i.e. UTA)
  • Ensures that personnel know evacuation procedures and location of safety
  • equipment.
  • Ensures the maintenance of all Firm equipment such as copy machines, fax
  • machines and dictation equipment.
  • Coordinates external delivery and vendor services, whether local, national or international
  • Assist with the management and occasional on-site visits of Bradenton, Sarasota and Naples offices.
  • Will maintain local corporate accounts for items such as food deliveries, flowers,
  • outside copy services, court reporters, etc.
  • Will have access to print Operating Checks for emergency and will maintain a
  • balance as set by Chief Operating Officer in said account.
  • Will maintain petty cash for emergency expenditures with a balance to be set by
  • Oversees the processing of daily trust and real-estate deposits and Monthly

Deposit Only audit form.

  • Oversees the processing of Monthly Trust Accounting audit.
  • Any and all other duties as may be required of the job.


Required Skills/Abilities:

  • Excellent verbal and written communication skills.
  • Excellent interpersonal, negotiation, and conflict resolution skills.
  • Excellent organizational skills and attention to detail.
  • Strong analytical and problem-solving skills.
  • Ability to prioritize tasks and to delegate them when appropriate.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Thorough knowledge of employment-related laws and regulations.
  • Proficient with Microsoft Office Suite or related software.
  • Bachelor’s degree in human resources, Business Administration, or related field
  • preferred.
  • A minimum of five years of supervisory experience in a law firm, or related setting,
  • preferred.
