JOB SUMMARY


The Miami office Receptionist is a key support function for the US headquarters office. The Receptionist is primarily responsible for managing the front desk and ensuring the smooth running of hospitality, events, courier/post management, office supply management and daily coordination with the Office Manager. The Receptionist will also provide supplemental administrative support to the office on an as needed basis.

To succeed, the Receptionist must exercise strong communication skills, pay attention to detail, and be adept at managing multiple competing priorities simultaneously.


ESSENTIAL FUNCTIONS OF THE JOB


  • Office reception duties include welcoming all visitors and staff
  • Answer phone calls, taking messages, sending emails, retrieving voice messages.
  • Provide administrative support to departments as required, including Concur expense reports and out of office coverage
  • Monitoring and ordering office stationery and supplies
  • Managing office mail and incoming/outgoing package delivery/ mail sort and distribution
  • Processing FedEx and DHL packages order supplies when needed.
  • AP invoice certifications.
  • Assist with office events, holidays.
  • Validating parking for all visitors.
  • Manage special projects/events as allocated by the Office Manager
  • Assist in any special project in the office as needed
  • Reserve rooms for visitors
  • Administrator of Castle/ Cove App.
  • Responsible for AerCap Birthday Activities at the office (Scheduling the dates, ordering the cake, celebration, sending emails).
  • Responsible for the coffee machine area (refilling, cleaning the machine daily, etc.)
  • Responsible for the annual office fire drill
  • Office catering arrangements/ ordering food, setting up etc.





JOB REQUIREMENTS, QUALIFICATIONS & COMPETENCIES


Education/Experience


Minimum 2 years' experience as a corporate receptionist or a similar role



Eligibility


Legally authorized to work in the USA

Bilingual Spanish required


Technical/Functional Experience


  • Proficient with Microsoft Office Suite, particularly Outlook and Excel ,

  • Ability to represent the company and deal with visitors and executive staff at the highest levels
  • Excellent verbal and written communication skills
  • Strong interpersonal skills, a professional and positive attitude
  • The ability to work effectively as part of a team or on own initiative
