Position Overview

Are you a self-motivated and organized individual with a knack for fostering relationships and supporting a high-impact team? If so, the role of Administrative Assistant / Engagement Coordinator at BEST NC might be your ideal opportunity. In this part-time position, you'll provide essential administrative support to the CEO and the team, while also playing a key role in engaging with BEST NC members and key stakeholders to ensure their voices are heard on crucial education issues.


PRIMARY DUTIES AND RESPONSIBILITIES

Administrative Support:

  • Perform basic bookkeeping tasks such as retaining receipts, monitoring leave schedules, and acknowledging contributions. (Note: accounting is handled by a bookkeeper)
  • Provide general administrative support, including maintaining databases, managing documents, coordinating grant applications and reports, and handling other administrative tasks, as needed.

Member Engagement:

  • Cultivate and maintain positive relationships with BEST NC stakeholders, including business leaders, educators, and policymakers. Identify opportunities to strengthen these connections.
  • Monitor membership status, issue invoices, track collections, and schedule meetings to ensure membership levels are on target.
  • Enhance stakeholder engagement by coordinating and assisting in the planning of meetings, events, newsletters, and conferences.
  • Coordinate logistics for key meetings and events, including scheduling, invitations, catering, and venue arrangements.
  • Proactively schedule board and key stakeholder meetings, preparing and distributing agendas, minutes, and other necessary materials.


Location:

BEST NC is located in Cary, NC. We operate on a hybrid work schedule with required in-person attendance 1-2 days per week, plus key events. The office is open every day for anyone who prefers to work in the office. Limited travel is required to support events, typically day trips within the state and generally not more than one per month on average.

 

Work Schedule

This is a part-time position, 4-5 hours per day, five days per week. In order to support events, these hours may be combined for a full day, approximately once per month. There may also be an opportunity for a strong candidate who prefers to work full-time.

QUALIFICATIONS

Required

  • Excellent interpersonal, written, and verbal communication skills.
  • Impeccable organizational skills with an eye for detail to maximize our reach.
  • Ability to manage multiple projects and stay on task with minimal guidance or oversight.
  • Demonstrated talent for building relationships and connecting people with shared interests.
  • Passion for education and strong commitment to BEST NC’s mission.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Bachelor’s degree OR equivalent work experience.

Preferred

  • Previous experience in administrative support or customer relations.
  • Experience with Salesforce or other contact management system.
  • Experience with Quickbooks Pro, Constant Contact, and Eventbrite.


COMPENSATION & BENEFITS

Compensation range $23-32k/year ($22-25/hour) for part-time

This is a part-time position but there may be an opportunity for a strong candidate who prefers to work full-time. Part-time benefits include paid vacation leave and holidays, flexible work hours, and access to benefits of your choice through Aflac.
