Siegwerk is seeking an organized and detail-oriented professional Administrative Coordinator to join our team.

As an Administrative Coordinator, you will play a crucial role in ensuring the smooth operation of our office and events, as this role will provide administrative support to the Des Moines, IA team.


This is a full-time 6-month position, with potential to become full-time.


The Administrative Coordinator regularly liaises with internal teams such as Human Resources, Accounting, Finance, SCM, Logistics and Purchasing.

Candidate must reside in the Des Moines area.


Key Responsibilities Include:


Office Coordination


  • Manages front desk of site location
  • Receive and process invoices, AP/AR mail, site location mail
  • Manages mail room and office supplies
  • Manages vending services
  • Collaborates with colleagues to identify and implement process improvements
  • High volume of administrative tasks, including scheduling and coordinating events, meetings, and interviews, and travel coordination
  • Fleet Management


Event Coordination


  • Plan and execute on-site and local activities, including food, beverage, and entertainment
  • Collaborate with vendors and venues to ensure successful event setup
  • Coordinate logistics for various events


Additional Responsibilities


  • Ensures an excellent team member experience by being friendly and attentive
  • Owns all tasks with a keen attention to confidentiality and discretion, especially when decisions or outcomes directly impact the operations of the company
  • Prepares and liaises meeting agendas, presentations, special projects documentation, and other key operational documentation which support the organization
  • Drafts and may distribute both internal and external correspondence ranging from customer communications to leadership communications
  • Manage calendars, schedule appointments, and coordinate meetings
  • Prepare and edit correspondence, reports, and presentations
  • Handle sensitive and confidential information with discretion
  • Conduct research and compile data for various projects
  • Assist with event planning and coordination
  • Manage office supplies and personal protective equipment
  • Oversee office maintenance and ensure a clean and organized workspace
  • Answer phone calls, take messages, and direct inquiries to the appropriate person
  • Perform general administrative tasks such as filing, scanning, and data entry
  • Scheduling appointments for internal leadership
  • Welcoming/Checking In guests to the SIEGWERK Des Moines site


Role Requirements


  • Proven experience as an administrative assistant or in a similar role, with a minimum of 3 - 5 years’ experience
  • Proven experience in office management, calendar management, event coordination, and travel bookings
  • Proficiency in Microsoft Office Suite, especially MS PowerPoint
  • Excellent organizational and communication skills
  • Ability to work independently and as part of a team
  • Proficient in typing and data input
  • Excellent verbal and written communication skills
  • Ability to prioritize tasks and meet deadlines
  • Attention to detail and problem-solving skills
  • Ability to maintain confidentiality of sensitive information
