About the Role:


GPS Capital Markets is looking for an Office Administrator to join our current administrative team. You will play a vital role in providing highly organized and friendly administrative support to ensure needs are met and things run accurately and smoothly. You will be responsible for performing a variety of tasks from organizing documents, running errands, and helping prep for on-site and off-site events. The right candidate will have consistent follow-through, enjoy a variety of tasks, take ownership, and aim to provide stellar service to all levels of staff.


Responsibilities:


  • Oversee and support office administrative duties, working closely with the Executive Assistant, to ensure the smooth operation of the office.
  • Manage the front-desk and reception areas, serving as the first point of contact for guests, employees, job candidates, and vendors.
  • Keep the office clean and organized.
  • Monitor office supplies and place orders when necessary.
  • Take on other duties as assigned by the Executive Assistant (i.e., weekly lunches, office parties and client gifts)
  • Ensure kitchen items are stocked throughout the day; order supplies as needed.
  • Handle all incoming calls at the reception desk and respond to questions and/or requests in a professional manner.


Requirements:


  • High school diploma or equivalent and 2 years of coordinator or administrative support experience.
  • Experience in a professional office environment.
  • Strong interpersonal, communications, and relationship-building skills.
  • Good time management, prioritization, and multitasking abilities.
  • Ability to effectively interact with partners, staff, and vendors.
  • Ability to be active and on your feet for a significant portion of the workday.
  • Self-starter with a can-do attitude.
