A next-gen alternative platform in New York City is seeking a Personal Executive Assistant to assist the founder and provide advanced administrative and personal support to him and the firm.

Responsibilities:

The Personal Executive Assistant will:

  • Anticipate the needs of the founder and liaise with the executive office team, domestic staff, and relevant internal and external stakeholders to help drive thoughtful actions to ensure smooth day-to-day operations
  • Arrange accommodations, dining reservations, and ground transportation as necessary
  • Create and update correspondence, presentation materials, and other items needed for the Executive's daily meetings and activities; compile and synthesize information
  • Arrange, confirm, and manage extremely detailed calendars (business and personal)
  • Manage and pivot support based on rapidly evolving calendar on a real-time basis
  • Organize and prepare all aspects of internal or external business meetings and events
  • Develop strong working relationships with internal / external constituents and their administrative staff
  • Prepare reports, summaries and undertake special projects as needed
  • Perform a broad range of support duties, including tasks such as but not limited to making coffee, arranging meals, managing dry cleaning, picking up prescriptions, printing, faxing, filing and additional errands as required
  • Provide shared "on call" availability to answer the founder's questions via email, text, or phone

Qualifications:

  • Experience supporting high profile or C-level executives
  • Technologically proficient; capable in the use of Microsoft Office programs with the facility to learn new software programs and perform basic office equipment troubleshooting
  • Experience exercising exceptional discretion and independent judgment on matters of significance
  • Self-starter attitude with excellent anticipation skills, high initiative, adaptable to frequent change
  • Strong problem-solving, follow up and willingness to work extra hours to meet deadlines
  • Highly organized, accurate, and detailed
  • Ability to commit to work some weekends and to be on-call outside of traditional business hours
  • Flexibility to travel as necessary
