Administrative Assistant (Product Development)

 

Role Summary:

Reporting to the Sr. Manager of Product Development, this position performs a wide range of duties to support the product development team with the design and development of new products. This position will play a key role within the Product Development team in ensuring all item specifications and department systems are maintained, product samples are organized, and files are created and managed. 

 

Role Type and Location:

  • This Is Not a Remote Position.
  • In Office Position – Corporate Headquarters in Bowling Green KY
  • Full-Time Hourly, Non-Exempt (Monday – Friday, 8:00 a.m. to 5:00 p.m.)

 

Responsibilities:

  • Works collaboratively with product development and brand teams to determine and finalize product specifications in alignment with brand standards.
  • Inspect and relay product spec details to the Product Development and Sourcing Teams to ensure accuracy while creating samples.
  • Responsible for documenting the process from creating specs to prototype approval to ensure timely execution and that processes are moving efficiently and effectively.
  • Maintain product development calendar and processes to help keep team on track.
  • Review and edit incoming design concepts to ensure commercial viability and adherence to brand standards, cost matrix, product quality and uniqueness to the brand.
  • Work collaboratively with the Sales Team to identify and develop items and plan assortments to accomplish product strategy.
  • Research and support trend research seasonally to give guidance to brands new product concepts.
  • Communicate and work collaboratively with all departments (Sourcing, Art/Design, Brand Management, etc.), providing up-to-date information as new items are introduced.
  • Coordinate and assist in product copyright and trademark research.
  • Creates, manages and is the point person for product development communication to Sourcing via Basecamp.
  • Responsible for taking detailed notes during meetings and following up with all team members on any action items.
  • Organizes, tags, and tracks prototype sample inventory for team to locate and reference easily.
  • Maintain Development Communication Sheet in Google Sheets for each brand and season.
  • Liaison between potential partners and internal teams during product development stage.
  • May work trade shows in both setup and on the sales floor.
  • Other duties and projects as assigned.


Experience, Knowledge & Skills Requirements:

  • Organized and critical attention to detail, follow through, and accuracy skills in a high volume, fast-paced and deadline-driven environment to see project from conception to completion.
  • Team player and flexible working with multiple teams across different departments for assignments, direction, changes, and feedback from various teams – each of which can change to meet the needs of the business at any time.
  • Excellent verbal and written communication skills, including the ability to effectively communicate with internal and external customers, internal staff (on and off site), and external partners.
  • Excellent organizational and time-management skills and can work under pressure to meet tight deadlines, while maintaining a positive attitude.
  • Understands the basics of setting and implementing schedules and adhering to those timelines.
  • Experience with Adobe Illustrator, Basecamp and Google Drive programs is a plus.
  • A willingness to use, learn and adapt to using existing or new programs and technology for product development is a must and is key to job productivity and success.
  • Proficient in Microsoft Excel and Google Sheets to create organized information sheets using formats, formulas, and filters.
  • Exhibits a passion and drive in pursuing ideas and opportunities.
  • Must be able to work in teams, independently, be a self-starter and take initiative.
  • Must have Continuous Improvement and Team Player mindset.
  • Must be flexible and exhibit strong problem resolution skills.
  • Prior experience with gifting, stationery, and/or textiles is preferred. 
  • Ability and willingness to work necessary hours to meet all project deadlines.
  • Travel may be required.

 

Physical Requirements:

  • Must be able to sit and work on a computer for extended periods of time in a cubicle environment.
  • Must be able to bend, stoop, reach, pull, and lift up to 25 lbs. without assistance.
  • Strong verbal skills (proficient in English).

 

Academic Qualifications:

  • Associates degree or equivalent experience in industry.
  • 1+ years’ Adobe Illustrator
  • Minimum of three years’ experience in administrative assistant or coordinator role.
  • Brand management, product development, product management exposure is a plus.
