Title: Senior Manager of Scheduling

Location: Troy, MI *Hybrid 3 days/week in office

Compensation: 80 to 115k + Bonus

Type: Direct hire



Summary:

The Senior Manager of Scheduling is responsible for planning, directing, providing oversight, and coordinating the various subdepartments within the Scheduling Department. The Senior Manager regularly interacts with members of other departments and liaises with supervisors, managers, etc. of other departments. The Senior Manager provides strategic and operation vision and direction for the Scheduling Department and its staff.



Job Duties:

  • Oversees the interviewing, hiring, and termination of staff in the Scheduling Department. Makes authoritative recommendations with regard to employment of Scheduling personnel.
  • Evaluates Scheduling management and personnel performance, recommends pay scales and adjustments, handles grievances, and assists in disciplinary action as required.
  • Organizes and assigns subdepartment leadership and personnel seeking to optimize operations and activities. Including monitoring of patient calls via software
  • Ensures that Scheduling associates complete necessary tasks and works with managers to resolve process bottlenecks.
  • Resolves problems and complaints regarding department personnel operations and activities.
  • Maintains efficient workflow throughout the practice by developing and overseeing the implementation of procedures, scheduling, and patient flow. Initiates changes when necessary, consults manager regarding structure and operation of Call Center.
  • Indirectly oversees physician office schedules and responds to Operations requests regarding scheduling issues.
  • Oversees the development of training and any necessary documentation.
  • Promotes and maintains an office environment that is in compliance with federal, state and local regulatory laws, rules and guidelines. Ensures routine maintenance of equipment.
  • Attends supervisor meetings. Informs office Call Center staff and Managers of changes in policies; updates and educates staff.



Basic Requirements:

  • High school degree
  • Seven (7) years of Call Center or other scheduling experience (preferably in a medical setting) with a history of progressive responsibility.
  • Experience working with computer software and multiline telephones
  • Significant managerial experience
  • Superior communication skills
  • An understanding of protective measures necessary when handling confidential, personal, or legally protected information



Preferred Qualifications:

  • Experience working in a medium or large private medical practice
  • 5+ years Management experience
  • Bachelor’s degree
