Position and Job Function Overview


This polished, detail-oriented multi-tasker assistant is expected to handle confidential information; interact with firm leaders and clients; and add value to firm endeavors and administrative functions. Performs administrative support of considerable difficulty and performs independent judgment for principals. Duties include office functions, assisting other administrative team members, and project-based work. Projects a professional company image through in-person and phone interaction.


The position requires the ability to complete assignments independently and accurately; experience interacting with senior professionals and customers; and strong oral/written communication and PC skills with knowledge of MS Office (Word, Excel & PowerPoint).


Essential Functions

  • Schedules appointments and keeps appointment calendars for Principals
  • Organizes travel arrangements for team members
  • Arranges for meetings and conferences
  • Composes and types correspondence
  • Involved with scheduling and project coordination with Principal oversight
  • Prepares reports and statistics for Principal as required
  • Provides scanning, proofreading, assembly and shipping services
  • Maintains files and other records
  • Follows up with firm leaders on status of open projects
  • Supports other departments administratively per request
  • Serves as back-up to front desk
  • Performs such other duties as may be assigned


Knowledge, Skills and Abilities

  • Knowledge of modern office methods and procedures, filing, telephone techniques and office equipment, as well as business English usage, spelling, grammar, and punctuation
  • Ability to type 50 words per minute accurately
  • Ability to perform administrative and clerical duties with speed and accuracy without immediate and constant supervision
  • Strong verbal, organizational and interpersonal skills
  • Executes assignments of a confidential nature; requires ability to keep matters confidential
  • Ability to perform several tasks concurrently with ease and professionalism

Required Education and Experience

  • 5 to 7 years’ experience as an administrative assistant
  • Bachelor’s degree preferred
  • Proficient with computers, including Microsoft Outlook and Microsoft Office
