Provide high-level administrative support to the CFO and other members of the Executive team as needed. Will serve as a representative of the CFO as well as the entire leadership team with both internal and external parties. Keeps official company records and executes administrative policies determined by, or in conjunction with, other company officials.


This position will involve knowledge of confidential information. Such information will be handled with the utmost discretion.


  • Manage the CFO’s schedule and independently schedule appointments.
  • Review CFO’s email correspondence and helped determine which emails require CFO’s attention.
  • This position serves as a gatekeeper for the CFO by communicating directly with the public, Famer Company partners including banks, auditors, insurance companies, other business executives, and staff members as appropriate.
  • Manage the complex and detailed corporate travel needs of the leadership team, including air travel, hotel, rental vehicles, and all other travel-related needs.
  • Prepare CFO’s confidential correspondence, when needed, and other presentations, reports or spreadsheets as requested. May prepare documents for other members of leadership team.
  • Organize and follow up on the CFO’s open projects and to do list
  • Lead and manage high level special projects as well as conduct research from time to time supporting our growth strategy
  • Review, distribute and copy mail and correspondence as needed, and perform other similar administrative duties.
  • Build & Maintain the Corporate Calendar which will consist of critical tasks completed by other departments including but not limited to; bank compliance certificates, bonding company reporting, 3rd party lease payments, 401K board meetings and other items
  • Prepare and distribute corporate announcements and other employee and market notifications as needed.
  • Arrange programs, meetings, events or conferences by scheduling the facilities and caterer, issuing information or invitations, coordinating speakers, and controlling the budget.
  • Assist CEO’s Executive Assistant in other areas of the company in the planning and coordination of employee and/or customer events.
  • Act as custodian of company documents and records.
  • Prepare and file company documents with required parties.
  • Perform light bookkeeping duties.


SKILLS:

  • Ability to write reports, correspondence, etc.
  • Strong computer skills in excel, word and PowerPoint and the ability to learn to effectively use company software – with training.
  • Flexible and able to adapt and respond to changing situations.
  • Excellent communication, organizational and multitasking skills.
  • Strong time management skills.
  • Basic level of financial acumen needed.
  • Track record of excellent phone skills and customer service skills.
  • Able to relate well to people and work in cooperation with others.
  • Ability to act independently upon information using good business judgement to make decisions that achieve optimal results.
  • Strong initiative and high degree of integrity.
  • Ability to handle sensitive and confidential information appropriately.



REQUIREMENTS:

High school diploma; bachelor’s degree preferred.

  • Minimum five years senior level administrative support experience is required.
  • Experience with positions requiring multiple priorities and the need to organize the work of self and others.
