Staff Administrative Assistant (Remote), Non-Exempt, Temporary to Permanent

 

Monarch Psychiatric NP PLLC is an outpatient setting virtual mental health and psychiatric care practice that was founded by the owner, a psychiatric nurse practitioner with training in many settings. We were founded in 2020 and now serve the adult populations in New York, Florida, and Arizona, and have plans of expanding access to care nationwide. We treat many different types of conditions and populations and take pride in what we do with passion and dignity on our mission to help others achieve their mental wellness goals.

 

Job title: Staff Administrative Assistant

 

Location: Remote. The expectation of the practice when an employee works in this position remotely is that they are able to maintain a professional work environment at all time. The location of the virtual/remote environment may vary but should remain in the state of their home residence.

 

Hours: Varied.  The practice may serve patients at any time within a 24-hour day but the office is restricted to business operations and duties between the hours of 8am-930pm. 

 

Part-time position: Less than 35 hours per week, must work a minimum of 16 hours per week, schedule to be determined by supervisor


Full-time position: Must work a minimum of 35 hours per week, schedule to be determined by supervisor


Shifts: Varied, flexible schedule. Orientation and training to take place Monday-Friday 9am-5pm EST.

 

Key requirements:

 

·  High School Diploma or GED, college degree preferred

·  Excellent customer service skills

·  Fluent in English language in both reading, writing, and speaking

·  Must pass a background check and standard clearance

·  Must pass a drug test screening

·  Knowledge of common systems used in a health practice such as EMRs

·  Knowledge of billing insurance companies or willingness to learn

·  Proficient in Microsoft Word, Excel, PowerPoint, and other related applications

·  Ability to multi-task

·  Knowledge of use of a phone system, voicemail

·  Expert at writing emails, managing tasks, and communicating

·  Positive attitude

·  Maintains professionalism at all times amongst staff and patients

·  Does not currently have a medical or psychiatric condition that would otherwise limit the ability to perform these job descriptions

 

Salary & benefits: Wage starting at $20/hr. Commensurate with experience. Weekly payroll. Employees entitled to health insurance, vacation and personal leave, sick pay, retirement plan, and other employee incentives for wellness and performance bonuses.


 

Job role and responsibilities:

 

  • Scheduling and changing of appointments
  • Clinician calendar management
  • Insurance verifications and billing assistance
  • Use of an EMR and other software or website applications
  • Option to expand into marketing, social media postings
  • Phone duties and tasks
  • Assisting with medication requests
  • Use of softwares for prior authorizations for medications
  • Uploading documents to patient charts
  • Communicating with the other providers in the practice
  • Attending team meetings
  • Use of a project management software
  • Collection of copays and other fees
  • Use of email to communicate with patients and staff
  • Additional tasks as required that allow for daily business operations

 

Training and Orientation: It is expected that all employees will be required to perform certain job training and receive a proper orientation of how to properly perform their job, learn expectations of their role, and be given time to understand the daily operation of business including certain systems we may use. The length of the training and orientation will be dependent on your ability to demonstrate competency of these skills and depending on the job role will work with someone closely under supervision until you are able to perform the job independently.
