We are looking for a meticulous and proactive Office Coordinator to join our vibrant team. Reporting to the Chief of Staff, the Office Coordinator will manage the daily administrative operations, ensuring everything runs seamlessly. The successful candidate will possess excellent organizational skills, strong communication abilities, and the capability to juggle multiple tasks simultaneously.




Primary Duties:

  • Provide administrative assistance to the leadership team, including scheduling, report preparation, creating presentations, managing correspondence, arranging travel, and handling other administrative tasks.
  • Manage annual reports, filing systems, and maintain organized records and documentation.
  • Collaborate with legal counsel to ensure compliance with regulatory requirements, including licenses, permits, and various annual filings.
  • Oversee daily office operations, including reception duties, mail distribution, and office supply management.
  • Coordinate office maintenance and communicate with building management for any facilities-related issues.
  • Enhance office efficiency by implementing and improving office systems, layouts, and equipment procurement.
  • Maintain relationships with vendors, service providers, and the landlord, ensuring timely invoicing and payments to keep a clean and organized office environment.
  • Organize and execute office events, meetings, and activities to foster a positive work environment.
  • Handle confidential information with discretion and professionalism.
  • Perform other administrative duties as needed to support the team.
  • Demonstrate a positive attitude and work effectively both independently and as part of a team.




Qualifications:

  • Bachelor’s degree in Business Administration, Management, or a related field is preferred.
  • At least 3-5 years of experience in office management or a similar administrative role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
  • Strong organizational skills and a keen attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to work independently and as part of a team.
  • Strong problem-solving skills and the ability to handle complex situations with ease.
  • Professional demeanor and strong interpersonal skills.
  • Experience in a fast-paced, dynamic work environment is preferred.
