Job Summary

As a Human Resources Administrative Assistant, you will have the opportunity to support cross-divisional teams, participate in special projects that provide top ­notch customer service through different platforms of communication. Reporting directly to the HR Administrative Manager, the Human Resources Administrative Assistant is a non-supervisory position that primarily supports the Administrative and the Benefits and Risk divisions by responding to routine and sensitive inquiries from County staff, citizens, and public officials in a prompt and courteous manner.

The successful candidate will be able to work in a team focused environment, independently and handle shifting priorities with agility organizing and prioritizing work to meet departmental deadlines. The HR Administrative Assistant is an essential position within the Department of Human Resources and will serve as the point of contact in a highly visible customer focused environment, performing a wide range of confidential Human Resources and administrative functions across multiple HR program areas.
 Collaborates with Human Resources staff on departmental assignments, including:

OSHA reporting; Preparing benefit term packets for departing employees; Benefit Wellness events; Annual Open Enrollment events; Processes inquiries in the Countys Link Service Program and creates cases in Service Now; Assists in developing and editing divisional Standard Operating Procedures (SOPs). Serves as records retention coordinator; Maintains and manages Human Resources official personnel files; Conducts orientation for new hires, providing onboarding packages and explaining County policies; Ensures compliance with the federally regulated I-9/Employment Eligibility Verification process; Supports the Countys employee photo ID and Service Award programs; Prepares reports and presentations for internal communications; Provides front counter customer support by managing phone calls, addressing general inquiries, and processing incoming mail; Maintains departmental email boxes, calendars, and meeting room schedules; Tracks and orders office supplies for HR divisions and County program events; Maintains confidentiality in the performance of job duties; Contributes to the planning and setup of various departmental meetings and events; Provides administrative support to departmental staff on special projects;

Minimum Qualifications

Requires any combination of education and experience equivalent to a high school diploma and four (4) years directly related administrative experience. Proficiency in MS Office software required. Certified Administrative Professional (CAP) and previous related Human Resources experience with HRIS software desirable. Experience working with HR benefits functions and programs, as well as a Virginia Notary Commission, is highly preferred.

Strong knowledge of Human Resources administrative best practices. Skilled in confidential record handling, problem solving, critical thinking, and administrative environments. Ability to communicate effectively, both verbally and in writing. Ability to establish positive and collaborative working relationships at all levels of the organization.
