Job Summary
Were currently seeking qualified applicants for a full-time administrative assistant with the Community Centers division. The Community Centers offer comprehensive programs and services to a diverse population of Loudoun County residents and visitors across 10 locations. Our team celebrates innovation, curiosity, and diversity to ensure every community center participant feels welcome and respected and has an exceptional experience. The administrative assistant develops systems for improving division and departmental efficiency and service. This position works as a dynamic, highly motivated member of our Community Centers Administration Team.
The administrative assistant provides a full range of office support, including collecting and compiling data, preparing forms, responding to phone and email inquiries, assisting internal and external customers with completing forms, answering routine program questions, data entry, ordering and dispensing supplies, processing mail, setting up meetings, preparing correspondence and documents, and maintaining databases and files. The ideal candidate resolves problems quickly and efficiently and maintains excellent working relationships. This individual will thrive in a fast-paced, creative environment and enjoy working on special projects, training, and special events. Must possess excellent verbal and written communication skills and demonstrate attention to detail. Manages time-sensitive tasks and can work independently. Under supervision, provides day-to-day administrative support to the assigned Division Managers.

Essential Job Functions: Provides administrative assistance to departmental programs for special projects, as well as for various functions and meetings. Delivers polite and prompt customer service to County personnel, vendors, residents, and other guests; directs customers to the relevant staff members. May assist with department-wide functions such as recruitment activities, scheduling interviews, preparing employment actions, and maintaining files. May track training and/or certification records of staff. Other important job functions relevant to the assigned position and department may also be performed as needed.
Minimum Qualifications
High School diploma or equivalent and two (2) years of related clerical/administrative work experience; or equivalent combination of education and experience.
Preferred Qualifications:
Bachelor's degree in Office Management, Business Administration or related field.
Job Contingencies and Special Requirements
Valid driver's license and good driving record when required for job-related duties. Pass pre-employment criminal, credit, and DMV background checks. A Notary Public certificate should be obtained within 30 days from the hire date.
Occasional work hours outside of the normal workday may be required.
