Administrative Assistant

We are looking for a responsible Administrative Assistant to help with the oversight, planning, estimating, and coordination of our building restoration company. Applicant to be highly motivated team member with an education or background in historic preservation and construction with strong research, documentation, writing, organization, and planning skills. The Assistant will work on a one-to-one basis with the Owner on the variety of tasks in the office and in the field.
Responsibilities
- Presentations, Surveys and Estimates
- Assist in the development of scope and cost estimates
- Assist in the summary and presentation of Surveys with Owners and Team Members
- Attend client meetings
- Prepare materials in support of meetings, conference calls, presentations and reports
- Research project estimating opportunities
- Marketing and Programming
- Tasks like social media management, email marketing, and content creation
- Public education and training development, grant research and program oversight and execution
- General Management
- Organizing records
- Research industry information, statistics, etc.
- Perform ad hoc duties as requested
- Perform errands
- Handle requests and queries appropriately
- Assist with business needs
- Assist with project oversight
- Must love dogs
Skills
- Ability to problem solve, ask questions, identify issues
- Ability to work independently and take ownership of role and responsibilities
- Ability to work and communicate effectively within a team
- Ability to remain flexible in the face of changing deadlines, travel plans and calendars
- Bachelor’s degree in materials conservation, architecture, historic preservation, or other design/construction related major, with an emphasis on skills relevant to architectural history and historic preservation
- Understanding of conservation of historic materials through site-specific preservation projects
- Experience with historic preservation construction projects, research and writing of reports
- Must be able to perform administrative duties including but not limited to note-taking, document management, and scheduling
- Ability to use Mac based DropBox, Teams, Excel, Word, Outlook, PowerPoint, Pages and Numbers. AutoCAD drawing skills and GIS would be a plus but are not required
- Ability to maintain discretion and strict confidentiality
- Ability to anticipate needs and show a high level of initiative
