Responsibilities

Job Summary
Under the direction of Pre-Services Manager, coordinates the replacement/free medication approval functions and patient liability functions to include but not limited to organization of workflow, communications within the system, critical information tracking and contacting physician offices for required documentation and pharmacy staff at all outpatient infusion sites. The position is focused on supporting the role of the Infusion Pre-Services department in optimizing the approval and obtaining replacement/free drug process to protect the organization's financial goals and to optimize the calculation and communication of patient liabilities. This position works closely with Infusion Pre-Services staff, Patient Financial Services, and Physician offices to obtain approvals in a timely manner. Provides on-site coverage to all outpatient infusion locations when the site financial counselor is out of the office. Must be able to travel to any site and work to meet the business needs for any of the locations. Performs pre-registration duties for oncology related departments, including determining patient financial liability. Responsible for calculation of self-pay deposits for patients without insurance coverage. Coordinates training of new Patient Financial Counselors on account and revenue cycle workflow.
  • Responsible for coordination of all outpatient infusion site replacement/free medication applications for those patients needing financial assistance, as well as ordering medication and refills including setting up delivery at each site and tracking shipments. Must work closely with site pharmacy personnel to confirm delivery and account for all packing slips. Works closely with prior authorization leadership team to screen and track applications to pharmaceutical manufacturers for medication replacement for off label drug use. Effectively communicates with site PFC regarding status of applications. Must communicate with patients and providers on status of application. Must also be in communication with site medical staff to verify if treatment plan is still accurate prior to ordering medications. Must coordinate the ordering of additional doses with pharmacy personnel. Must also work closely with billing department to maintain accurate account notes to ensure correct billing.
  • Responsible for financial counselor coverage at all outpatient infusion locations including Honor Health Neurology as needed. Will provide on-site coverage to any of the VPCCN sites when the assigned PFC is out of the office. Must be willing to travel to any of the offices to meet business needs. Duties to include: Verifies patients' insurance coverage, eligibility, and Point of Service financial obligation for all scheduled services, and documents the system in detail. Adheres to all third party payer requirements for both government and commercial payers. Determines insurance eligibility and coverage, confirms authorization status to avoid non-compliance and penalties to the patient, health system and physician. Communicates current Medicare requirements, HIPAA compliance and reimbursement criteria. Collaborates with staff members to ensure patient status is correct and documentation is provided to insurances as needed. Responsible for pre-registration for a variety of oncology related departments, including Genetics, Nutrition, and Tina's Treasures for each visit. Also responsible to communicate with patients as to their coverage and financial liabilities, as well as obtaining missing demographic information. Ability to discuss self-pay policies for non-covered services.
  • Calculates, provides and explains self-pay estimates to site PFCs as needed.
  • Trains new patient financial counselors on infusion revenue cycle workflow. Communicates changes to workflow to all infusion patient financial counselors.
  • Cross-training in other areas of the department as business needs require.
  • Performs other duties as assigned.
Qualifications

Education
Associate's Degree or 2 years' work related experience in Healthcare Required

Experience
2 years experience obtaining authorizations for medical procedures/treatments including IV infusion of medications, chemotherapy or administration of biologicals or related experience. Required
