Job Description - Senior Grant Administrator, 20 Hours



GENERAL SUMMARY/ OVERVIEW STATEMENT:


The Sr. Grant Administrator for the $32 million PCORI funded research project within the Pulmonary and Critical Care Division will be the liaison between the PCORI grant administrator and BWH research administration. Additionally, the Sr. Grant administrator working closely with the Project Director, will be the point person between BWH research administration and subcontract administrators at each of the 27 supervising the incoming and outgoing subcontracts. The Sr. Grant Administrator is also responsible for the post award day to day fiscal management of a $32 million dollar budget. This part-time position will be on a 20 hour per week schedule. This is a remote position with occasional in person meetings.


PRINCIPAL DUTIES AND RESPONSIBILITIES:


  1. In collaboration with Research Administration reviews and manages contracting with the project sponsor and 27 supporting collaborators
  2. Works closely with the Project Director and Principal Investigator managing the day to day expenses of the project
  3. Forecasts project expenditures
  4. Spearheads requests for re-budgeting as needed from the project sponsor and external collaborators
  5. Coordinates with the division research administrator and research management office for financial and other post award tasks as needed
  6. Assists with financial reports and outgoing invoicing to sponsor on a monthly basis
  7. Reviews incoming invoices from the 27 subcontracts on a monthly basis
  8. Assists with the ordering and distribution of materials associated with the project
  9. Prepares and reconciles journal entries as needed
  10. Creates and maintains summary financial reports for the project
  11. Performs monthly review and analysis of actual to budget variances for project spending
  12. Assists with strategic analysis in support of business decision-making
  13. Provides accurate forecasting for research and operation fund spending including both linear and non-linear parameters
  14. Effectively communicates with internal and external constituencies


QUALIFICATIONS:


1. Bachelors degree required

2. 15+ years healthcare or research grant and financial administration experience a must

3. Familiarity with MGB systems preferred


SKILLS/ ABILITIES/ COMPETENCIES REQUIRED:


1. Ability to manage deadlines

2. Proficiency in MS Office applications and ability to learn new systems as needed, excel is particularly important

3. Astute attention to details, commitment to accuracy and integrity of all data, reports and communications

4. Requires ability to work effectively with project director, principal investigator, site principal investigators and contract administrators and program staff

5. Strong communications and organizational skills

6. A successful candidate will be able to demonstrate proficiency in excel and be prepared to provide a sample of prior work done in excel
