The Department of Pathology is currently seeking a full time Clinical Program Coordinator to work in Miami. The Clinical Program Coordinator assists in the development, organization, production and evaluation of a variety of health promotion and educational program offerings for patients in the assigned unit. Provides general oversight over daily program operations in support of the University's mission, including the direct supervision of volunteers. Monitors the financial performance of programs to meet departmental goals, and assists with short- and long-range budgetary planning.

CORE RESPONSIBILITIES

  • Evaluates program effectiveness; analyzes results and recommends and/or takes appropriate action; coordinates program activities with other program, department or staff activities, ensuring optimum efficiency and compliance with appropriate policies, procedures, specifications and funding limitations.
  • Train, develops and empowers staff to effectively perform their jobs; confers with and advises staff, students and others, providing technical advice, problem solving assistance, answers to questions and program goals and policy interpretations.
  • Acts as a main point of contact for project funders, advisors, speakers and participants; recruits program participants, members and volunteers.
  • Develops cooperative/therapeutic relationships with patients and families representing a variety of populations, projecting a positive and cooperative image; creates a calm, professional atmosphere that promotes productivity and a positive image.
  • Develops program communications and promotional literature for distribution including newsletters, brochures and flyers, coordinating the process from development through printing and distribution.
  • Prepares periodic reports, financial statements and records on program activities, progress, status or other special reports for management or outside agencies.
  • Maintains patient confidentiality as well as the confidentiality of hospital business information.
  • Accountable for maintenance of established supply levels, including but not limited to unit and supply rooms.

DEPARTMENT ADDENDUM

Department Specific Functions

  1. Manages the division's client service program.
  2. This includes all interactions with external laboratory clients, which include the state attorneys and public defender's office, private attorneys, external laboratories, and police departments.
  3. Providing first-line interaction by phone, fax, and email inquiries, such as setting up new clients in the laboratory system, fielding basic inquiries on tests and pricing, sending toxicology reports, and resolving sample, submission, or report issues.
  4. Coordinates all aspects of the client experience, including shipment of new client packages, monitoring client lab usage, and processing client requests for information and supplies. Follow-up contacts to improve client satisfaction.
  5. Assist in designing and implementing laboratory marketing and reporting, including email blasts, mass mailing, direct mailing, web updates, and laboratory exhibits at national meetings.
  6. Coordinates all aspects of a service request from non-biological samples, such as record reviews, interpretation of outside results, and invoices to the relevant party.
  7. Manages clients by monitoring case status and following up with timeline information and client needs.
  8. Manage the division's billing system.
  9. This includes IDR, credit card, and internal and external laboratory service check payments.
  10. Invoice for the laboratory's litigation packages, court documents, and testimony duties for all staff members, reimbursing the county and UM appropriately.
  11. Invoicing of all clients on a case basis. Assists in preparing end-of-month reports for the Miami-Dade crime laboratory and submitting backup information for client services as the contract requires.
  12. Manage the division's purchasing and monitor accounts payable transactions.
  13. Purchase office supplies, laboratory services, and laboratory reagents.
  14. Reconciliation of open commitments
  15. Work with laboratory staff and vendors to streamline purchasing and payments.
  16. Support laboratory infrastructure
  17. Place work orders with MedIT, facilities, housekeeping, and other service-based vendors for optimal laboratory operation.
  18. General office support
  19. includes typing toxicology reports, general correspondence, FedEx shipping, accessioning laboratory specimens, and overseeing laboratory volunteers. Ensure compliance by lab staff in university training and the laboratory in import agreements and other approved SOPs.
  20. Performs other duties as assigned.
