Administrative Assistant & Client Services Coordinator

Job Description: This entry-level administrative assistant position is for a diligent, eager, organized, and innovative task manager and problem solver pursuing an excellent opportunity to invigorate their career in office administration and management in a dynamic and fast-paced environment. Role offers potential for growth within the organization, performance bonus, and pay increase after 12-month performance assessment.

Key Responsibilities:

  • Administrative Support: Provide general administrative support such as answering phones, managing incoming and outgoing emails, filing documents, and scheduling appointments.
  • Data Entry: Accurately enter and maintain data in spreadsheets, databases, CRM management systems and other information storage systems.
  • Office Management: Assist in maintaining office supplies, organizing office events, and ensuring the office environment is tidy and conducive to productivity.
  • Correspondence: Draft, edit, and proofread correspondence, reports, and other documents as needed.
  • Customer Service: Interact with clients, vendors, and other stakeholders in a professional and courteous manner, both in person and over the phone.
  • Assistance to Management: Provide administrative support to senior management, including preparing meeting materials, scheduling appointments, and making travel arrangements.
  • Special Projects: Assist with ad-hoc projects and tasks as assigned by management and other duties as necessary.

    Requirements:
    • Educational Qualification: High school diploma or equivalent. Additional qualifications in office administration or related fields are a plus.
    • Computer Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other relevant software including web and design apps. Experience with data entry and database management is desirable.
    • Organizational Skills: Strong organizational skills with the ability to prioritize tasks and manage time effectively.
    • Communication Skills: Excellent verbal and written communication skills. Ability to communicate professionally with internal and external stakeholders.
    • Attention to Detail: Keen attention to detail and high level of accuracy in all tasks.
    • Team Player: Ability to work collaboratively in a team environment and contribute to a positive work culture.
    • Adaptability: Willingness to adapt to changing priorities and take on new challenges as required.
