Facilities Coordinator

As a facilities coordinator, will provide vital support to the Facilities Managers within our dynamic restaurant company. The successful candidate will be responsible for various administrative and coordination tasks to ensure the smooth operation of our facilities. The ideal candidate will have strong organizational and communication skills to liaise with cross-functional teams and external vendors effectively. Your commitment to upholding high standards and providing essential support to the facilities management team will be essential in optimizing the functionality of our support function. If you have QSR/hospitality industry experience, it is a plus

What You'll Do:
  • Maintain locations in our CMMS platform and other internal systems.
  • Maintain organizational changes and alignment within systems (such as Area Leaders, Region Leaders, etc).
  • Maintain Tundra FMP accounts (parts supplier)
  • Onboard new vendors, verify required information submittals and set up with the accounting team.
  • Maintain vendor lists in CMMS per the needs of the Facilities Managers.
  • Ensure all existing vendors keep their information updated; COI, labor rates, and anything else we require.
  • Update and maintain the assets in CMMS platform (new/replacement).
  • Assist in coordination with scheduling preventative maintenance activities across all locations.
  • Work with the management team to clear up any invoice errors.
  • Monitor missed work order ETAs and liaise with operations teams as needed.
  • Review, analyze, and re-categorize work orders as needed.
  • Liaise with Property Management, as needed, for any vendor support with landlords.
  • Train operations teams on how to use the platform and efficiently execute work orders.
  • Creating reports from the CMMS platform to support Facilities Leadership.
  • Abide by policies and procedures that support the service mindset.
  • Earn the trust of Team Members and Managers by consistently embracing CAVA's values.
  • Show discipline in bringing consistent performance, communication, and attitude to the job daily.
  • Actively contribute to your department to complete tasks and meet company goals.
  • Recognize the emotional stake each Team Member has in this business's personal and organizational success.
The Qualifications:
  • Proven experience in an administrative role, preferably within a facilities or property management context.
  • Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with facility management software.
  • Basic understanding of mechanical and electrical systems, as well as maintenance practices.
  • Ability to read and understand technical manuals and blueprints is a plus.
  • Strong problem-solving skills and the ability to work under pressure.
  • Self-motivated with the ability to work independently and as part of a team.
  • Flexibility to respond to emergency situations outside of standard working hours.
  • Valid driver's license and reliable transportation, as travel between restaurant locations may be required.
  • High school diploma or equivalent; a degree in facility management, business administration, or a related field is preferred.
Physical Requirements:
  • Ability to maintain a stationary position to be able to operate a computer and other office equipment
  • Must be able to identify, analyze, and assess details
  • For certain positions, must be able to move or transport items up to 50 pounds occasionally
  • Ability to communicate with others and exchange information accurately and effectively
  • Constantly positions self and moves about to support ordinary restaurant or food production support or office operations, as applicable
  • Ability to work in a constant state of alertness and a safe manner
