In this role, you will support the President of our Clinical Trial Testing Solutions (CTTS) business segment through a proactive, collaborative, and business-minded approach.

This position will be primarily office-based in Indianapolis, IN working directly with our global Executive Leadership team.

In more details, you will...

  • Provide direct assistance as well as administrative support to the President, Clinical Trial Testing Solutions (CTTS)
  • Act as a communication liaison for President for staff members' concerns, ideas, and requests and creation of agenda items for leadership meetings and town halls
  • Ensure the executive is made aware of issues that need immediate attention
  • Manage access to the President and maintain and modify President's schedule
  • Create, edit and release a variety of communications that affect the CTTS organization
  • Prepare, as required, materials for Board of Directors or Chief Executive Officer
  • Gather and prepare final monthly business reports
  • Coordinate, book and appropriately document all aspects of US domestic and International travel including Visa applications, changes, all things related to travel. Build and share as appropriate all itineraries and submits expense reports,
  • Handle details of highly confidential and critical business matters
  • Collect and prepare information for use in discussions/meetings of executive staff and outside individuals
  • Manage Executive Team SharePoint and Teams Channel sites
  • Prepare and coordinate off-site meetings as required
  • Make high-level contacts of a sensitive nature inside and outside the company
  • Work independently on special assignments
  • Develop solutions to complex problems that require the regular use of ingenuity and innovation
  • Coordinate Executive visits to Indianapolis site (agenda, catering if required, business review, etc.)
  • Manage all FSA and IT related submissions and troubleshoot tech issues on President's behalf
  • Schedule annual calendar for all leadership meetings, town halls, and client reviews
  • Sit on all leadership calls and town halls to manage the WebEx and share/present the material, note action items, offer opinions. Include coordination of agendas, presenters, and material to be shared and prep meetings when needed.
  • Maintain org chart updates as needed
  • Any other duties as required

What we're looking for

The Executive Assistant will be most successful at Labcorp with:

Minimum Experience Required:

  • 8 - 10 years of relevant experience
  • Previous experience supporting/partnering with C-Suite level executives, preferably the Chief Executive Officer
  • Experience liaising with executives within and outside the company, customers, vendors, visitors and other notable contacts
  • Microsoft Office suite proficient
  • WebEx – intermediate proficiency
  • Excellent communication skills both written and verbal
  • Strong interpersonal skills: active listening and passion for customer-care
  • Strong time management and organizational skills
  • Ability to prioritize multiple tasks, anticipate potential problems, and handle stress in an ever changing environment
  • Experience designing and maintaining procedures that allow appropriate access to confidential information
  • Develops solutions to complex problems which require the regular use of ingenuity and innovation

Recommended Education:

  • Bachelor Degree preferred, Masters a plus
