Summary / Role Purpose

The Senior Talent Acquisition Operations Specialist is responsible for independently managing the execution of multiple processes and facets of the hiring process, including the background screening and verification process, applicant tracking management and audit processes, as well as supporting immigration processes. With incredibly strong attention to detail and organizational skills, this individual will also serve as a system administrator for the Applicant Tracking System (ATS) and any/all external systems related to the pre-employment verification process. They will be responsible for ensuring data integrity and flow, as well as maintaining confidentiality.

Key Duties and Responsibilities

  • Independently manage the accurate and timely completion of the pre-employment background screening process. Including interaction with candidates and the screening vendor to obtain necessary documentation.
  • With completed and appropriate documentation and application of judgement, in alignment with Ansys policy, processes candidates through pre-employment screening
  • Responsible for distributing necessary new hire paperwork to candidates and maintaining the appropriate flow of information across the recruiting team, hiring teams and HR Operations.
  • System administration for the Applicant Tracking System (ATS) and other reporting or sourcing tools, including responsibility for data integration and advanced reporting
  • Maintenance and collection of data as it relates to compliance with applicable policies, procedures, as well as all federal, state and local laws related to employment, including, but not limited to OFCCP compliance
  • Create, manipulate and distribute system-generated reports to a wide variety of audiences, including members of the extended leadership team and/or for compliance purposes, always maintaining accuracy and data integrity
  • Support TA Department projects, interfacing and collecting input from across the HR function and, at times, collecting information from and interfacing with, leaders and members of the Ansys business
  • Based on business need, directly support the sourcing and/or screening for administrative and/or entry-level positions
  • Assist with interview scheduling as needed for a variety of roles in active recruitment
  • Engineering or re-engineering TA Operations processes to scale, providing recommendations for efficiencies and improvements to TA Leadership.
  • Educate and/or train Talent Acquisition and HR team members on onboarding experience for new hires, clearly articulating key stakeholders and process steps.
  • Act as the project lead for TA related projects related to onboarding.

Minimum Education/Certification Requirements and Experience

  • Bachelor's Degree in Human Resources, Employee Relations, Business or a related field
  • 3-5 years' direct talent acquisition operations experience and/or 5-7 years of combined general HR, HR Operations, or Onboarding experience
  • Direct experience running background checks and managing the onboarding process for new hires
  • Experience navigating HR Systems, specifically Applicant Tracking Systems (ATS) and/or HRIS
  • Demonstrated, strong, attention to detail and exemplary organizational skills
  • Ability and propensity to operate independently and make sound decisions, where appropriate, around highly compliance-driven processes, without direct supervision
  • Exposure to EEOC and OFCCP compliance and the correlating regulatory measures
  • High level of proficiency in all Microsoft Office Tools, including Outlook, Power Point and Excel, specific experience with Excel to include basic Pivot Tables and VLookUp
  • Exposure to preparing Power Point or Visio presentations to visually map or represent the steps in process or standard operating procedure (SOP)
  • Experience extracting and utilizing Talent Acquisition or HR data for a variety of reporting purposes, including for compliance and audit
  • Prior experience implementing process improvements and efficiencies for Talent Acquisition or HR Operations processes
  • Well-developed interpersonal skills and ability to communicate effectively, both verbally and in writing, including interfacing with executive audiences

Preferred Qualifications and Skills

  • Specific support within the HR or TA department for a global, publicly traded corporation
  • Prior experience as a part of new system implementation, specifically and ATS or HRIS
  • Advanced skills with Microsoft Excel, including VLookUps and utilizing Pivot Tables (visualizing between Tabular, Compact) to segment and visualize data for the appropriate audience
  • Experience creating, from scratch, complex, graphically sound Power Point or Visio Materials for use as training materials to describe processes or standard operating procedures (SOPs)
  • Prior experience implementing and managing Affirmative Action plans
  • Previous experience participating in an OFCCP audit
