This Executive Assistant position will report directly to an OPEN Band 50, Vice President of CBO Payments.The day-to-day activities include calendar management, logistics coordination, expense management, and travel for three Vice Presidents. This position is an integral part of a dynamic and fast paced team that requires seamless collaboration and coordination across a wide range of businesses and band levels. The ideal candidate must have experience in handling a wide range of administrative related tasks, have an interest and passion in supporting leaders and be able to work confidently and independently.

Minimum Qualifications

Coordinate support & manage all day-by-day activities linked to the role and provide direct management support, agenda management, travel/ virtual visit planning etc. Liaising with various stakeholders through email/ telephone/written correspondence. Coordination of calendar management, managing across senior business leaders, dispersed locations and differing time zones.Arranging meeting rooms, video and audio conferencing as well as coordinating team meetings, offsites, activities and other events.Booking international/US travel with knowledge of Amex travel booking tools, preferred vendors and associated policies. Build itineraries and provide advance preparation for VPs.Ensuring timely preparation and processing of expense reports; reviewing expenses submitted to leader and highlighting any out of policy spend; tracking and processing of invoicesAssisting with timekeeping and payroll dutiesIn conjunction with other Executive Assistants, organize and coordinate activities associated with Town Halls, and other employee-related activities and events.Pulling standard reports and employee data from HR systems.Collaborating with the team to administer training & development activitiesDrive team culture through events, social gatherings & strategic initiativesAd hoc administrative tasks including, updating organization charts, updating distribution lists, updating PowerPoint documents and/or creating PowerPoint slides, updating/editing MS word documents, comfort with manipulating data and doing basic analysis.Preferred QualificationsAbility to manage multiple priorities, make sound decisions, and maintain discretion and confidentiality of sensitive information.Excellent communication skills, both written and oral; strong relationship-building, interpersonal, influencing, and collaborating skills across multiple band levels.Strong organizational skills with ability to priorities and efficiently progress multiple tasks.Proficiency in American Express applications, including but not limited to AmexMeet, WebEx, Concur Expense Management, Ariba Buyer, MyHR, Payroll, CareerTrack, and the IT Service Catalog (TechCare) preferred.Tactful and discrete with a mature and professional attitude to work.Team player who is dependable, enthusiastic, and has a positive attitude.Ability to remain calm under pressure, and effectively manage change upon short notice.Ability to respond to requests quickly and execute tasks accurately.Ability to think end to end around assigned projects and responsibilities.Ability to work under pressure, to tight deadlines and with strong attention to detail and timely follow-up. Salary Range: $24.05 to $48.10 hourly + bonus + benefits The above represents the expected hourly pay range for this job requisition.
