ROLE & RESPONSIBILITIES:

  • Provide backup to the front desk receptionist when needed to include but not limited to answering the main phone line, forwarding/screening calls, dropping off packages for mailing, notification of and escorting guests, badge photo taking, etc.)
  • Maintaining the upkeep of the general office environment (to include but not limited to cleaning/organizing the breakrooms, restocking inventory, etc.),
  • Determine need for, schedule and negotiate repairs with outside vendors for building and office equipment.
  • Identifies issues proactively and fixes effectively to avoid down time or future failure of equipment.
  • Perform basic office maintenance functions (such as replacing water filters, ink cartridges, hanging corkboards, etc.)
  • Maintains security by complying with all corporate procedures, rules, and regulations.
  • Supports continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
  • Supports Corporate Functions as needed (purchasing, installing equipment, maintaining storage areas, organizing company events from start to finish, etc.)
  • Provide Facilities Manager with timely updates regarding project status, budget, scheduling with vendors, addressing staff concerns, etc.
  • Supports Executive team by running errands, addressing requests, etc.
  • Manages stock for break rooms (coffee, tea, ensure overall cleanliness and sanitation, etc.)
  • Maintains confidentiality of corporate information.
  • Ability to provide flexible working hours to help support corporate needs.
  • Monitors and assists in training on facility safety and security procedures including annual review/certification and initial/refresher training. Assists in creating and updating operating procedures as it relates to Facility Management, safety and security.
  • Maintain accurate recording of all vendor repairs, security and safety incidents within in-house ticketing system.
  • Assists in developing inspection, test, and preventive maintenance plans and equipment reliability programs for office and safety equipment.
  • Helping to prepare for and schedule any safety inspections or audits.
  • To include other duties as assigned.

REQUIRED EXPERIENCE:

  • Experience with basic office equipment (to include scanners, copiers, etc.)
  • Verbal and Written Communication skills
  • Ability to perform maintenance on office equipment, move supplies and hang pictures, etc.
  • Consistently punctual and professional demeanor
  • Active Driver's license
  • Physically able to lift more than 60 lbs
  • Organization and detailed orientated
  • Ability to multi-task
  • Information dissemination
  • Handles and works well under pressure
  • Experience with purchasing supplies
  • Work equally well within a team environment and independently
  • Must be able to obtain a CPR and AED certification

PREFERRED EXPERIENCE:

  • Basic understanding of HVAC, plumbing and electrical helpful
  • Previous experience with Microsoft Office software preferred
  • Familiarity with phone systems
  • Event Planning Experience
  • Familiar with OSHA compliance

EDUCATION & CERTIFICATIONS:

  • University/college degree is an asset, but equivalent related work experience accepted
