We are seeking an experienced and highly skilled Sr. Administrative Assistant to provide exceptional support to our Vice Presidents and Senior Vice Presidents. The successful candidate will be responsible for high-level calendar management, travel coordination with budget oversight, handling confidential information, contributing to special projects, and supporting junior administrative assistants within the Business Unit/Function.

Responsibilities:

High-Level Calendar Management:

  • Prioritize and manage complex executive calendars, resolving scheduling conflicts and ensuring optimal time utilization.
  • Coordinate and schedule meetings, conferences, and other engagements with a focus on efficiency and strategic priorities.

Travel and Expense Coordination:

  • Manage travel arrangements, including booking flights, accommodations, and ground transportation, while staying within budget constraints.
  • Provide budget support for travel and expense activities, ensuring compliance with financial guidelines.

Confidential Information Management:

  • Handle confidential information and sensitive communications with the utmost discretion.
  • Maintain confidentiality in all matters related to executives and the organization.

Special Projects/Offsites:

  • Contribute to the planning of both virtual and in person meetings, training and events; coordinating logistics and providing support.
  • Collaborate with other team members to ensure successful execution of special initiatives.
  • Support the planning & organization of company meetings, events, and all associated logistics.

Support to Junior Executive Assistants:

  • Provide guidance and support to junior executive assistants within the Business Unit/Function to ensure alignment with organizational goals.
  • Foster a collaborative environment and share best practices to enhance overall team performance.

Reports and Presentations:

  • Prepare and review reports and presentations for senior management, ensuring accuracy and alignment with organizational standards.
  • Assist in creating compelling materials that effectively communicate key messages.

Qualifications:

  • Proven experience as an Executive Assistant or Administrative Assistant supporting senior executives.
  • Exceptional organizational and prioritization skills.
  • Strong attention to detail and the ability to handle multiple tasks simultaneously.
  • Excellent written and verbal communication skills.
  • Proficiency in calendar management tools, travel booking systems, and Microsoft Office Suite.
  • Ability to work with confidential information and maintain an elevated level of professionalism.
  • Previous experience in budget support and project coordination is a plus.
