Sr. Contracts System Administrator

Under the direction of the Director, Procurement - Contracts, the Senior Contract Systems Administrator is responsible for preparing, inputting, and implementing new contracts, letter agreements, and/or similar agreements that appropriately document business arrangements for vendors for all San Manuel Band of Mission Indians (SMBMI) entities and/or Business Units. The Senior Contract Systems Administrator is responsible for the overall maintenance of the Contract Management System (CMS) and assisting with processing Certificates of Insurance (COI).
Essential Duties & Responsibilities1. Initiates and inputs new requests for contracts. Oversees CMS system administration including creating flows, generating templates, updating current templates, creating new users, supporting upgrades, and creating and distributing scheduled contract management reports.
2. Implements desk instructions and policies and facilitates maintenance of procurement and legal system requirements in a near-paperless environment. Ensures a smooth contract flow from initiation through execution, and processes flow steps within established timeframes.
3. Reviews and coordinates CMS requirements and administration with the Legal department. Develops, implements, and manages contract tracking database to ensure fully executed contract for archive purposes.
4. Leverages SMBMI paper for new contracts, letter agreements, and/or similar agreements that appropriately document business arrangements for vendors who do not submit company contracts or agreements. Obtains necessary approvals from applicable departments for proposed deviations in contract terms and conditions from standard policies and prepares appropriate documentation of any such approvals.
5. Develops and implements procedures, relative to preparation and tracking from internal departments, and maintains up-to-date contract archives, including hard-copy files, an online database, correct terms, and renewal dates.
6. Oversees file correspondence, contracts, and legal documents within CMS. Drafts routine correspondence and other documents.
7. Serves as the point of contact with departments to implement the successful transition of contract documentation within systems requirements.
8. Performs special projects and provides back-up support to the Senior Contract Administrator.
9. Trains new and existing users on any CMS upgrades and distributes new quick tips for end users. Provides one-on-one support, as necessary.
10. Performs other duties as assigned to support the efficient operation of the department.
Education/Experience/Qualifications Bachelor's degree required in Business Administration, Information Technology, or similar discipline is required.A minimum of (6) years of relevant hands-on system administration experience required.
Related, relevant, and/or direct experience may be considered in lieu of the minimum educational requirements indicated above.
Paralegal or comparable law firm experience is preferred.
Strong analytical/problem-solving skills, and a high level of attention to detail and accuracy is required.
Complex report writing skills are required.
Proficiency with Contract Management Systems (CMS) is required.
Functional experience with CMS configuration and implementation is required.
Advanced proficiency in Microsoft Word, Excel, Access, and PowerPoint is required.
Experience working with relational databases and enterprise reporting tools is required.
