A Brief Overview

The Research and Clinical Consignment Specialist is responsible for all aspects of consigning and reconciling research orders and products and is expected to perform key research and clinical core duties such as confirming orders and donor recruitment for special projects. The job is designed to provide a better customer service experience, drive sales, fill orders as they become available and respond to research customer needs. The job is to maintain a high-level fill rate, quick turnaround time and successful donor recruitment participation rate.

What you will do

  • Consign and fill all research and clinical orders.
    • Fill orders.
    • Receive products and consign biologics in the proper shipping conditions.
    • Call centers and mobiles to track status of orders.
    • Print order labels as needed and work with a ship out log.
    • Ensure product creation with lab techs and supervisors to fulfill orders.
    • Prepare special consignments of primary cells, MNC's, platelets, salvage products and sell next day products collected in excess of orders created.
    • Troubleshoot products not collected and find alternatives.
    • Drive and deliver orders when necessary.
  • Communicate professionally and clearly with internal and external customers.
    • Receive and answer calls from customers on order status.
    • Call customers and or couriers for order pick up coordination.
    • Greet and checkout customers and or couriers at the research pickup window to distribute orders.
    • Stay in contact with via phone or email with collection sites, mobiles, and Components Lab on order collection and status.
    • Direct and immediate contact with Research and Clinical staff on order status and order reconciliation.
    • Provide estimated turnaround time to customers on their order status.
  • Track order statistics and create daily and weekly reports.
    • Create daily reports on product breakdown, special requests, fill rate, turnaround time, and research only recruited statistics.
    • Reconcile daily ship out log and call on orders not picked up to move stock.
    • Check the research data base for accuracy and any billing issues or gaps and report the results to the Research and Clinical department.
    • Compile weekly breakdown of all products and orders shipped and created to identify trends, gaps, carry over orders and ongoing project status.
    • Create a daily inventory report on products available and salvage products for sale.
  • Identify and recruit research donors for special collections and projects.
    • Identify and recruit research donors based demographic and testing panel information from Research and Clinical department staff from custom donor lists.
    • Book and confirm recruited appointments with the Research and Clinical staff, donors, customer and appropriate Stanford Blood Center departments.
    • Enter appointments in the research database and appointment software with necessary appointment notes.
    • Perform appointment confirmations and follow up on research collections.
    • Create statistics and fill rate reports on research project donor recruited collections.
  • Perform basic Research and Clinical department functions.
    • Decipher research orders and fill orders in the database and confirm the order with the customer.
    • Respond in a timely manner on email requests and questions from customers.
    • Produce and distribute infectious disease panel testing and demographic reports when requested.
    • Communicate product descriptions and availability to customers.
    • Perform inventory management on researcher provided tube inventory.
    • Maintain and track tube area inventory.
  • Perform other duties as assigned.
  • Comply with governmental regulations and Stanford Health Care and Blood Center policies regarding health and safety. Observe and support good health and safety practices.
  • Strictly observe privacy and security related policies, procedures and practices to preserve the integrity and confidentiality of medical and other sensitive information pertaining to donors, patients, research subjects, and employees. Act as a responsible information steward and treats information as sensitive and confidential in accordance with federal and state laws and with professional ethics, accreditation standards and legal requirements. Do not disclose protected health information inappropriately.
  • May be required to enter areas where other individuals work with human blood; potential may exist for unanticipated exposure to bloodborne pathogens by splash or spill.

Education Qualifications

  • High School Diploma or GED Required
  • Associate's Degree Preferred

Experience Qualifications

  • two years of direct customer service experience including inventory maintenance Required

Required Knowledge, Skills and Abilities

  • Must have a good working knowledge of the Microsoft Suite (i.e. Word and Excel); inventory maintenance and strong trouble shooting experience; strong phone and email communication skills; strong direct internal and external customer experience communication; ability to schedule and map out research collections and appointments; ability to recruit and schedule research donors and create and report on multiple research statistics and trends.

Salary Range: Generally starting at $ $32.89 per hour. The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.
