Position: Administration Specialist

Location: Winston-Salem, NC

Type: Contract

Pay Rate: $35 to 40/hr


Overview:

Responsible for providing full-cycle contract administration support for Operations and Technology contracts, ensuring execution in accordance with policies, legal requirements, and governmental provisions. This position plays a key role in contract execution by resolving issues, minimizing delays, assisting with audits, facilitating dispute resolution, and escalating concerns as necessary. The candidate will have the opportunity to apply research, organizational, and analytical skills in a fast-paced, diverse business environment.


Key Responsibilities:

  • Serve as the primary liaison between legal, procurement, senior management, and other key stakeholders in the contract preparation process for vendors and clients.
  • Act as the point of contact for internal customers on contractual matters.
  • Handle all aspects of contract administration, including contract review and request intake, contract execution, and filing. This includes onboarding contracts, researching and tracking contract abstraction issues, analyzing documentation, monitoring progress of pending contracts, communicating status, and managing the contract lifecycle.
  • Assist in the creation and implementation of systems and documentation to enhance department efficiency, including spreadsheets, forms, checklists, and databases.
  • Report on contract metrics as requested by management.
  • Review purchase order details and terms to ensure consistency with contractual agreements.
  • Monitor contract performance by assessing compliance with contract requirements and identifying the need for amendments or extensions.
  • Oversee all costs throughout the life of a contract.
  • Proactively engage with team members at various levels within the department, assisting with their contract inquiries.
  • Multitask between tools to validate order information and verify payment terms with high attention to detail and urgency.
  • Perform other duties as assigned.


Qualifications:

  • Bachelor’s degree in Business or a related field and/or five years of experience in a contract administration role, or an equivalent combination of education and experience.
  • Experience with a procure-to-pay solution such as SAP Ariba (e.g., contracts, process requisitions, research invoices and purchase orders, create custom reports, etc.).
  • Proficient in MS Office suite, with strong aptitude in MS Excel and MS Word.
  • Outstanding problem-solving skills with an analytical mindset, excellent organizational abilities, and a demonstrated passion for data detail.
  • Ability to identify challenges/barriers and make recommendations for satisfactory outcomes.
  • Excellent verbal and written communication skills, with the ability to convey actionable insights and collaborate effectively with all levels of the organization.
  • Ability to manage multiple projects in a dynamic environment with frequently changing priorities.
  • Proficient in researching, collecting, and analyzing data.
