Our client, a Boston-based law firm, is hiring an IP Docketing Administrator to join their growing team The IP Docketing Administrator is responsible for managing and maintaining the docketing system. This role requires a detailed-oriented individual who ensures all deadlines related to patent and trademark filings, prosecutions, and other IP-related matters are met. The Docketing Administrator plays a critical role in minimizing risk by ensuring that all filings, renewals, and responses are timely and accurately recorded.


Key Responsibilities:

  • Maintain the firm’s IP docketing system, ensuring all key dates and deadlines related to patents, trademarks, copyrights, and other IP matters are accurately tracked.
  • Review incoming correspondence from various jurisdictions, including the USPTO, international patent offices, and foreign counsel, to capture key deadlines and updates in the docketing system.
  • Accurately input and update critical dates and case information into the docketing system for patents, trademarks, and other IP filings.
  • Generate periodic docketing reports for attorneys and other stakeholders to track upcoming deadlines and action items.
  • Act as a liaison between attorneys, clients, paralegals, and foreign associates to provide accurate and timely docketing information.
  • Maintain and organize electronic files and documents related to IP matters.
  • Flag any potentially missed deadlines and take proactive measures to resolve any issues.
  • Regularly update docketing procedures and protocols to reflect changes in IP laws and office practices.
  • Provide general administrative support for the IP team, including filing, preparing documents, and ensuring all deadlines are communicated effectively.

Required Qualifications:

  • Bachelor’s degree or equivalent experience in a related field
  • Certification in docketing or IP paralegal studies is a plus.
  • Minimum of 2-3 years of experience in intellectual property docketing.
  • Familiarity with USPTO and international patent/trademark office procedures and rules.
  • Proficiency in using specialized IP docketing software
  • Strong attention to detail and accuracy.
  • Excellent organizational and time management skills.
  • Ability to work under tight deadlines and prioritize multiple tasks.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work both independently and as part of a team.
  • Experience working in a law firm or in-house IP legal department.
  • Understanding of global intellectual property procedures and regulations.
  • Ability to troubleshoot and resolve docketing issues promptly.
