Newcor Development is offering an exciting opportunity for a detail-oriented individual to grow a career in commercial real estate development. As an Administrative Assistant, you will play a vital role in the organization with exposure to all facets of the business. From scheduling and coordinating to reporting and accounting, this position will require an individual who can thrive in a highly dynamic environment.


Primary responsibilities include, but are not limited to:

  • Organizing team and client meetings and recording minutes.
  • Assist with scheduling and coordinating vendors, consultants and contractors throughout the project life cycle (Pre-Design, Design, Construction, Closeout).
  • Manage the document control process for project transmittals and overall management of documents database.
  • Prepare and distribute project status reports to internal and external stakeholders.
  • Create and run regular system reports for financial reporting and analyze for discrepancies.
  • Review and process Accounts Payable and running batch payments on schedule.
  • Create invoices and process Accounts Receivable.
  • Conduct routine account reconciliations.
  • Manage banking activities such as bank reconciling items and positive pay exceptions.
  • Assist in continuous improvement efforts related to project management and finance workflows.
  • Position may occasionally require travel to various offices and jobsites.


Requirements:

  • Minimum High School Diploma, associate degree or higher preferred
  • Extremely strong organizational skills and a proactive attitude
  • Excellent written and verbal communication with professional phone etiquette
  • Proficiency with Microsoft Office Suite (Word, Outlook, Excel, Powerpoint)
  • Experience with accounting software preferred (i.e. Quickbooks, Sage, etc.)
  • Experience in construction, engineering, architectural or related industries preferred


Other Skills & Qualifications:

  • Experience with Microsoft Project or similar scheduling software a plus
  • Experience with construction management software a plus (i.e. Procore, Autodesk, etc.)
  • Experience with progress billing a plus
