Job Description

The Production Coordinator will be responsible for managing and coordinating the production process for various projects including video and still assets for our clients’ marketing needs. The Production Coordinator will work closely with our Strategy, Paid Media, and Creative teams to ensure the smooth execution of creative assets and deliverables. Regular responsibilities include organizing, scheduling, budgeting, and coordinating photo & video shoots, managing production timelines, and liaising with vendors and internal teams to meet production goals. The individual must be detail-oriented, possess strong organizational skills, and be able to work in a fast-paced environment to deliver high-quality content that drives reach, reputation, and revenue.


Responsibilities


PRODUCTION

  • Coordinate and organize multiple monthly content photo/video shoots.
  • Assist in managing in-house productions including photo & video shoots.
  • Source, manage, and direct vendors for photo & video shoots.
  • Oversee pre-production activities such as visual research, location scouting, model hiring, and prop planning.
  • Manage production schedules to ensure timely delivery of assets.
  • Assist in post-production coordination and ensure deadlines are met.
  • Maintain and expand our network of UGC, content creators, and production vendors.


CONTENT & ASSET CREATION

  • Assist in the creation and production of assets allocated to the internal team.
  • Coordinate the delivery of assets for monthly content calendars & toolkits to internal teams.
  • Support the repurposing of brand-provided content via copywriting overlays, graphics, and basic animations when necessary.


COLLABORATION & SUPPORT

  • Implement content strategies set forth by the Strategy team.
  • Collaborate with internal teams and Account Managers to ensure content and assets support their respective goals.
  • Work directly with Account Managers to define the monthly shoot schedule, in line with ongoing content calendars for various brands.
  • Provide estimates and maintain budgets for all projects and clients.
  • Adhere strictly to deadlines for delivery of all original content.
  • Assist in creating detailed messaging calendars, shot lists, creative briefs for vendors, and ensure content remains consistent with client goals, needs, expectations, creative vision, and budget.


Requirements


  • Minimum of 3 years of experience in production coordination or a related field.
  • Strong organizational skills and attention to detail.
  • Knowledge and understanding of social media platforms and their respective formats.
  • Ability to think creatively and strategically.
  • Experience in managing multiple projects, budgets, and deadlines.
  • Excellent communication skills, both verbal and written.
  • Proficiency in Google Suite, Asana, Slack, Adobe Creative Suite, Microsoft Suite, and Zoom.
  • Ability to work well under strict deadlines while juggling multiple projects.
  • Understanding of content trends shaping consumer behavior today.


New Hire Expectations


WITHIN 1 MONTH, THIS PERSON WILL

  • Meet with all department heads to understand the workflow.
  • Meet as a group and individually to understand the existing process.
  • Review prior strategy reports, decks, and brand information for downloading and review of our client roster.


WITHIN 3 MONTHS, THIS PERSON WILL

  • Demonstrate understanding and ability to build out production schedules and meet criteria deadlines.
  • Demonstrate ability to source talent, build production needs, and execute schedules and plans.
  • Be introduced to all clients.
  • Oversee directly approve client deliverables.
  • Meet with department heads weekly to help guide the larger team and steer agency growth.


WITHIN 6 MONTHS, THIS PERSON WILL

  • Successfully plan, manage, direct, and deliver content/assets on schedule and within budget for multiple jobs/clients at a time.
  • Refine the departmental workflow to ensure the content team can scale.
  • Create departmental production procedures and turnkey training materials.
