Our client is currently seeking a Administrative Assistant – Marketing Purchasing in Monroe Township, NJ


Home office-based (Monroe Township, NJ)

Part-time position (16-24 hours per week)

Initial 6-month assignment with a possibility of extension.


Overview: As an Administrative Assistant in the Marketing Purchasing department, your role involves supporting the Marketing team with various tasks related to procurement and financial management. Here are the key responsibilities and skills associated with this position:


Main Responsibilities:

Purchase Orders (POs):

  • Create and manage POs.
  • Handle PO invoices and payments.
  • Update POs as needed (adjust amounts, manage PO lines).
  • Resolve discrepancies related to POs, payments, and vendor submissions to Accounts Payable (AP).
  • Track confirmation of invoice payments.


New Vendor ID Process:

  • Process New Vendor forms (BSR, EFT, W9).
  • Provide updated new vendor information to Finance.
  • Manage documentation for new vendors.
  1. Payment Requests:
  • Create payment requests for various purposes (e.g., support funding, charitable contributions, fellowships/grants).
  • Handle payments without invoices.


Skills/Knowledge:

  • Proficiency in the SAP procurement system:
  • Generate PO reports to track and reconcile budgets.
  • Look up vendor information for payment confirmation.
  • Familiarity with SAP account numbers:
  • Understand cost centers, project codes, OPEX, and A&P account codes.
  • Competence in Outlook/email communication.

Requirements:

-Associates degree in related field.

- 1 years of Admin Assistant experience in marketing department
