Executive Assistant Duties

The Chosen Candidate will play a crucial role in ensuring the smooth operation of the President’s daily activities.

Responsibilities will include:
  • Calendar and Meeting Management: Efficiently schedule and coordinate meetings, appointments, and events for the President.
  • Communication Liaison: Manage all communications, including emails, phone calls, and correspondence, ensuring clear and effective exchanges.
  • Project Coordination: Assist in managing concurrent projects, ensuring all deadlines are met and tasks are meticulously tracked (open opportunities and pitch, live jobs and internal projects).
  • Documentation: Prepare reports, presentations, and other documents, with an emphasis on detail and clear communication (client profiles, job postmortem, industry research, agency competitive analysis, department productivity, job and prospect status). 
  • Office Management: Handle general office tasks such as ordering supplies, managing files, and coordinating with vendors.
  • Event Support: Assist with event planning and production tasks, including coordination, logistics, and on-site support.
  • Travel Arrangements: Organize and book travel, accommodations, and detailed itineraries for both business and personal needs.
  • Personal Assistance: Provide personal support to the President, including managing personal tasks and errands. Meeting setting and meeting attendance. Keeping, editing, and distributing accurate notes and actions, and assignments for project tracking.
EA Software Proficiency
  • macOS 
  • Google Workspace (Gmail, Google Calendar, Drive, Docs, Sheets, Slides)
  • Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Proficient in CRM and CMS software (Monday, Salesforce, Asana, Lasso)
Social Media Management Duties

In addition to executive assistant responsibilities, management of LinkedIn presence for C-Level and company sites, as well as various other platforms.


Responsibilities will include:


  • Content Creation: Produce insightful, engaging posts using templates and toolkits for LinkedIn, Instagram, TikTok, and YouTube. Integrate and leverage latest trends.
  • Content Management: Schedule and post content consistently across all platforms, ensuring alignment with PLAN’s brand and goals. 
  • Marketing Support: Collaborate with the marketing team to support campaigns and initiatives, contributing to PLAN’s overall marketing strategy, tracking evolving social media and market trends. 
  • Analytics: Monitor and analyze social media performance, providing insights and suggestions for continuous improvement.
  • Contact Management: Maintain and update contact lists, ensuring accurate records of connections and potential leads.
  • Lead Tracking: Utilize social platforms for networking, expanding professional network, and identifying opportunities for referral to the Sales team.
  • Relationship Tracking: Record and file contacts and leads from social outreach as well as any inbound communication. Utilize CRM and CMS to support existing client pipeline, or new business opportunity pipeline.
Social Media Management: Software Proficiency
  • macOS (Keynote, QuickTime)
  • Adobe Creative Cloud (Photoshop, Illustrator, Premiere Pro, InDesign)
  • Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Canva (Design and content creation)
