PROPOSED POSITION:

Assistant Project Coordinator

The candidate would work directly with the Project Management Team, assisting with specific construction-related tasks. Attention to detail and organizational skills are a must.

Direct Supervisor: Sr. Project Manager

Primary Responsibilities:

As a vital member of the construction team, you will have the critical responsibility of setting up and managing project files. In this role, you will support the Modernization Superintendent (MS) and Project Manager (PM) by ensuring that project records are kept up-to-date. This could include tasks such as managing inventory spreadsheets, construction folders, and order-tracking equipment for multiple projects. Additionally, you will be responsible for maintaining and updating Smartsheet, a project management tool. You will also provide PO support when needed and assist the Project Management Department in creating a variety of materials, such as PowerPoint presentations, Install Packets, and other essential publications required for the construction coordination process. One of your essential tasks will be working on the customized Install Packet, a comprehensive installation guide that includes Architectural and Mechanical drawings, site-specific requirements, warranties, and other necessary paperwork for the construction project. You may be involved in creating Closeout Publications, such as a customized operation manual (O&M) and personalized maintenance control plan (MCP) for each project as required.


Summary:

  • Set up and maintain standard Construction project files.
  • Assists PM by maintaining project records, such as inventory spreadsheet, main drive construction folders, and order tracking.
  • Maintain and Update “Smartsheet.”
  • Provide PO support when required.
  • Assist the Project Management Department in compiling vendor quotes, tracking others, creating install packets, and creating other publications used in the construction coordination.
  • Publications:
  • Install Packet: a customized installation manual that includes, but is not limited to, Architectural and Mechanical drawings, site-specific requirements, warranties, and other miscellaneous paperwork essential to the construction project.
  • Closeout Publications:
  • O&M: Assembly of a customized operation manual for each project as required.
  • MCP: Assembly of a customized maintenance control plan for each project as required.
