Description 

We are looking to expand our team with a dedicated Event Coordinator to contribute to the planning and execution of events and administrative tasks in the office. The Event Coordinator is responsible for partnering with clients on their event concepts and objectives, managing timelines and schedules, coordinating all event logistics, and executing all events.


We are passionate about exceeding our client’s expectations and trust a large part of that responsibility to our event coordinator. This person will take ownership of event set-up and our event team and make decisions based on the good of the company. In addition, the position will continually evaluate processes and staff to improve the company’s performance. This will be an in-person job-based in Nashville, Tennessee. A 40-hour work week is excepted within the days of Monday – Sunday.


Job Duties and Responsibilities 


Expectations/ Responsibilities: 

·      Coordinate all logistical aspects of events, ensuring smooth execution

·      Build out pre and post event process for team 

·      Prep and pull hats and job supplies for all events

·      Manage all event set-up, tear down, and follow-up processes 

·      Provide on-site support during events to ensure smooth execution

·      Perform post-event tasks promptly

·      Ensure that employees are at all times attentive, professional, friendly, courteous and efficient in their interactions with guests, and all other employees. 

·     Establish and maintain relationships with clients and venues 

·      Creating invoices and collecting payments on time from clients  

·      Manage inventory of job supplies for events division  

·      Completely understand all Rustler policies, procedures, standards, specifications, guidelines and expectations. 

·      Capture social media content and send to Creative Manager for every event (in-store or off site).

·      Administrative Tasks

o  Accounts payable

o  Managing online orders

o  Unbox and tagging new inventory

·      Assist with other division of the company when needed


Required skills and qualifications 

·      2 years of event experience 

·      3-5 years of customer service experience

·      Experience leading a team

·      High energy, positive, and professional attitude

·      Self-Motivated

·      Excellent verbal and written communication skills

·      Thrives in a fast-paced environment with a commitment to delivering work efficiently

·      Detail-oriented and reliable with good time-management skills 

·      Assertive team player willing to contribute to a collaborative business model

·      Strong multitasking and prioritization skills

·      Outstanding ability to build and manage relationships

·      Ability to motivate and lead employees and hold them accountable. 

·      Maintain a warm and friendly demeanor at all times 

·      Excellent time-management, organizational, and problem-solving skills

·      Maintain high standards of personal appearance and grooming  

·      Must be effective in handling problems, including anticipating, preventing, identifying and solving problems as necessary.
