Senior Billing Specialist

We are seeking a highly experienced Senior Billing Specialist to join a top law firm's Los Angeles office. This role offers an opportunity to work in a fast-paced environment, managing complex billing processes and contributing to the financial success of the firm.
Position Overview: The Senior Billing Specialist will be responsible for overseeing and managing the billing operations for a portfolio of clients. The ideal candidate will have at least 5 years of legal billing experience, a strong understanding of legal billing software, and exceptional attention to detail. This position requires a proactive individual with excellent communication skills and the ability to handle sensitive financial information with integrity.
Key Responsibilities:
- Billing Management: Oversee the preparation, review, and submission of client invoices. Ensure accurate and timely billing in compliance with client requirements and firm policies.
- Invoice Review: Review and edit pre-bills in response to attorney and client requests. Ensure that all billing entries are accurate and adhere to client guidelines.
- Client Communication: Act as a primary point of contact for clients regarding billing inquiries and issues. Provide exceptional customer service and resolve billing disputes promptly and professionally.
- Billing Software: Utilize legal billing software to generate, process, and track invoices. Ensure the integrity and accuracy of billing data within the system.
- Reporting: Prepare regular and ad-hoc billing reports for attorneys and management. Analyze billing data to identify trends and provide insights for process improvements.
- Collections: Collaborate with the collections team to follow up on outstanding invoices and ensure timely payment. Assist in resolving payment discrepancies and issues.
- Compliance: Ensure compliance with firm billing policies, client billing guidelines, and regulatory requirements. Maintain up-to-date knowledge of industry best practices and changes in billing regulations.
- Process Improvement: Identify opportunities to streamline billing processes and enhance efficiency. Implement best practices and recommend system enhancements.
- Ad-Hoc Projects: Assist with special projects and initiatives as directed by the billing manager or finance department.
Qualifications:
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field preferred.
- At least 5 years of legal billing experience in a law firm environment.
- Proficiency in legal billing software (e.g., Elite, Aderant, or similar systems).
- Strong understanding of billing procedures, client guidelines, and regulatory requirements.
- Excellent attention to detail and accuracy in billing and financial data.
- Strong analytical and problem-solving skills.
- Effective communication and interpersonal skills, with the ability to interact professionally with clients and colleagues.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
