Position Overview:
We are currently seeking an experienced Executive Assistant to provide comprehensive support to our Chief Executive Officer. The successful candidate will possess a minimum of 3 years of demonstrable experience directly supporting C-suite executives, preferably within the construction sector. Exceptional organizational prowess, acute attention to detail, utmost discretion, and the ability to thrive in a dynamic, fast-paced environment are essential for this role.
Key Responsibilities:
- Provide high-level administrative support to the CEO, encompassing calendar management, travel coordination, meeting preparation, and expense reporting.
- Serve as a pivotal liaison between executives, internal teams, clients, and external stakeholders, ensuring seamless and timely communication.
- Facilitate the creation and dissemination of presentations, reports, and other executive-level materials for meetings and presentations.
- Manage assigned special projects and initiatives, including coordinating cross-functional teams and monitoring project progress.
- Maintain utmost confidentiality regarding sensitive information and exercise discretion in handling confidential materials and communications.
- Proactively anticipate the needs of executives and identify opportunities to optimize processes and enhance efficiency.
- Act as a primary point of contact for both internal and external inquiries, adeptly prioritizing and escalating issues as needed.
- Undertake ad hoc administrative tasks and projects as required to support the overall success of the executive team and the organization.
Qualifications:
- Minimum of 3 years of executive assistant experience, preferably within the construction industry.
- Proven track record of providing comprehensive support to C-suite executives, including managing complex calendars, travel arrangements, and administrative tasks.
- Strong familiarity with the construction industry, encompassing terminology, processes, and key stakeholders, is highly advantageous.
- Exceptional communication skills, both written and verbal, with the ability to interact professionally with individuals at all organizational levels.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Exemplary organizational skills with a meticulous attention to detail and the ability to effectively manage multiple priorities simultaneously.
- Demonstrated discretion and professionalism in handling confidential information and sensitive situations.
- Strong problem-solving abilities coupled with a proactive approach to addressing needs and resolving issues.
- Flexibility and adaptability to thrive in a dynamic, rapidly evolving work environment.
