The Position:

Reporting directly into the ATS Managing Director of Assembly Programs, the Associate Director of Project Management & Planning manages and carries out critical operations in the development and implementation of ATS’ 14 Assemblies, including program and faculty development, day-to-day activities, awards, voting processes, logistics, member communications, member relations, reports, along with the development and implementation of 10 Interest Groups within the Assemblies.


Position Responsibilities:

  • Manage the Assembly Project Review Committee (PRC) process, which includes overseeing the application review launch, updating the resource center and website, developing meeting and conference call schedules, facilitating communications, and institute project metrics.
  • Oversee all activities of the Assembly Planning Committee, which includes 2-year term planning, document review, Award review and project proposals, as well as onsite planning support during our annual conference.
  • Supervise operations for 3 Assembly Sections, which includes nominations, voting processes, awards, luncheons, receptions, communications, and publications.
  • Manage the 14 Assembly Nominating Committees & the Assembly Member Voting Process, which includes scheduling, mass emails, surveys, conference calls (meeting minutes), website, ballots, biosketches, and trend reports.


Position Qualifications:

  • Bachelor’s degree or equivalent knowledge and skills gained through extensive professional experience.
  • Minimum of five years management and supervisory experience, relevant to medical society operations.
  • Excellent written and verbal communication skills, including proper use of grammar, spelling, and punctuation.
  • Superb organizational skills, with the ability to work independently, and to set/meet administrative and production deadlines.
  • Excellent interpersonal skills, with ability to work collaboratively with staff, independent contractors, and vendors.
  • Must be detail-oriented and dedicated to high quality performance and output.
  • Must be able to multi-task and work on multiple projects simultaneously, while problem solving.
  • Proficient in Windows-based programs such as Microsoft Word, Outlook, Excel, Access, PowerPoint, and Adobe PDF. Must be able to learn and apply ATS "Salesforce" relational database management program to extent needed for unit data management.
  • Past/current work with physicians and/or other health professionals preferred.
  • Experience working/communicating with individuals located outside North America is a plus.
  • Ability to travel approximately 2-4 weeks annually.

Physical requirements:

  • Please note that this is a hybrid position that will require you to come into our New York Office on Tuesday, Wednesday, and Thursday each week.
  • Some travel may be required, such as to our annual International Conference and Grover Conference.
  • You may experience prolonged periods of sitting and/or standing.
  • You may experience repeated typing motions involving your wrists, hands, and/or fingers.
  • You may need to lift or carry up to 15 pounds of work equipment.


Pay Range: We are pleased to offer a range of $95-100k for this position.
