JOB OVERVIEW:
You are organized, detail-oriented, and thrive on resolving operational challenges that come your way. You will use your business knowledge and professionalism to support several key executives. In this role you will be an important partner to those executives and run point on a number of special projects and key initiatives. We have a dynamic, fast-paced environment and are seeking a proactive, highly organized, technology savvy, servant-hearted leader who can work independently and innovate. It’s a perfect fit for someone who loves to support leaders and is dedicated to ensuring their success. The ideal candidate will manage multiple tasks efficiently, anticipate needs and maintain strong working relationships with the assigned executives and other members of the team.
KEY RESPONSIBILITIES:
- Provide high-level administrative support to the C-Level Team, including managing calendars, scheduling appointments, and organizing meetings.
- Act as a point person on critical initiatives and activities across multiple businesses.
- Coordinate and prepare materials for meetings, presentations, and reports.
- Willing to work outside of normal business hours when required.
- Draft, proofread, and edit documents, emails, and communications on behalf of the C-Level Team.
- Coordinate travel arrangements, including flights, accommodations, and itineraries.
- Run point on diverse special projects with attention to detail and results
- Conduct research and gather information to support decision-making processes.
- Plan and coordinate events, private dinners, receptions and business functions.
- Assist with personal tasks such as scheduling, ordering, managing vendors, researching, etc.
- Coordinating with pharmacies for refills and new prescriptions.
- Providing information with discretion as needed, requiring detailed knowledge of the Executive's span of control, their respective teams, and general knowledge of company policies, practices, and operations.
- Preparing documents including developing presentations and correspondence.
- Partnering with other members of the company to coordinate on projects.
- Managing some reporting and data for key executives.
- Assist other team members in coordinating fun activities, providing support for the office, etc.
- Acting as representative and ambassador to external constituents as needed.
- Assist with expense management, negotiating contracts, and some financial reconciliation.
QUALIFICATIONS:
- Bachelor's degree and previous 5+ years of EA experience.
- Strong work ethic; self starter.
- Highly organized with attention to detail and results.
- Desire to learn and grow; open to coaching and development.
- Project management experience.
- Friendly and sociable.
- Executive support experience.
- Highly professional appearance & demeanor at all times.
- Ability to work in office in Boca Raton Florida.
- Solid proficiency with Google Suite, Zoom, Slack, LinkedIn.
- Demonstrated strong verbal and written communications.
- Ability to work well independently and under pressure.
- Ability to collaborate with internal and external partners.
- Experience juggling multiple high priority projects with the ability to stay organized and meet deadlines.
