Position Summary:


The Office Supervisor will manage front end, day-to-day operations. The Office Supervisor oversees our administrative team of Client Service Managers (CSM’s), and maintains office premises, office equipment, supplies and inventory. The Office Supervisor is reliable, well-organized and is responsible for strategizing and coordinating firm operations.


Job Description:


Administration

  • Assists with billing and collection—time reports and client charges.
  • Manages office supply and kitchen inventory. Oversees vendor management for building maintenance & repairs, office equipment, etc. Ensures office equipment is in good working order.
  • Manages department supplies (i.e. W2/1099 supplies).
  • Maintain Administrative Procedures Manual. Standardizes and periodically reviews procedures, forms, files, etc.; Review annual processes with departments and coordinates with CSM team (1099/W2); Maintains various checklists to ensure compliance (bookkeeping, compilations & tax).
  • Perform receptionist duties.
  • May be asked to run errands (post office, etc.) using personal vehicle.
  • Coordinates meetings, conferences and appointments as requested by partners and managers.
  • Other duties may be assigned.


Tax

  • Assembles tax returns
  • Route Sheet design changes


Accounting

  • Manages engagement letter process; Draft engagement letters and proposals; Coordinate with A&A department to ensure most recent compilation, review & audit language is used.
  • Schedule Peer Review every 3 years, schedule annual internal review.
  • Route Sheet design changes.



Preferred Job Qualifications:


  • Minimum of High school diploma, Associates degree in Business or Accounting is preferred.
  • Five (5) years of progressive administrative experience with at least one year of supervisory experience. Experience in CPA firm is preferred.
  • Strong organization skills and ability to juggle multiple tasks and priorities.
  • Experience with accounting.
  • Advanced computer skills (Office Suite, Thomson Reuters/Practice CS), and comfortable with new technology.
  • Ability to follow instructions, and read, write, and communicate clearly and concisely in English.
  • Ability to exercise judgment and confidentiality.
  • Ability to deal effectively and maintain cooperative working relationships with firm staff and clients.
