An industry leading organization (Chicago—Loop), is currently seeking an ambitious, smart and dedicated individual to fulfill an Administrative Assistant capacity. This individual will provide integral administrative and operational support to all department members within a key business group; in addition to managing various projects and operations within an entrepreneurial and ever-changing organization.
This position will have a high level of visibility to the organization’s executive team members, internal business units and external vendors. In addition, an opportunity to make an impactful contribution to the organization’s corporate initiatives and long-term strategy. It is critical that this individual possess a professional demeanor, strong organization and communication skills, adaptability and multi-tasking capabilities as well as demonstrate the ability to thrive in a fast-paced environment.
Responsibilities:
- Complex travel arrangements and itineraries (domestic and international)
- Expense management and processing
- Execute client and external vendor invoice tracking and payments
- Calendar management (maintain organization of multiple complex business/personal schedules)
- Serve as the liaison for department executive management to all internal business units and external vendors
- Collaborate with corporate facilities department to manage office space requirements for a growing organization
- Coordinate with Human Resources to manage new hire onboarding, office space set up and required training/orientation activities
Requirements:
- Bachelor’s degree required
- Previous administrative experience in professional services organization preferred
- Strong organizational, written/verbal communication, and interpersonal skills
- Technical capabilities – Microsoft Office Suite; specifically, proficient in Outlook, Excel, PowerPoint and/or applicable expense management software
- Highly motivated, trustworthy and committed to delivering consistent level of quality
- Ability to exercise discretion and maintain highly confidential and pertinent information
- Reliable and able to prioritize and multi-task initiatives simultaneously
- Maintain superior level of professional and ethical standards – maintaining strict confidentiality
