Job Title: Executive Assistant/Personal Assistant to the CEO

Location: New York, NY

About our client:

Our client is a leading trading firm, looking to hire a EA to support their CEO. Their fast-paced and dynamic environment requires an organized and proactive individual to support the CEO.


Key Responsibilities:

Corporate Executive Assistant (50%)

  • Act as a gatekeeper and manage the CEO's corporate calendar, including scheduling internal and external meetings, calls, and events.
  • Coordinate and prepare for board meetings, including the distribution of agendas, minutes, and other necessary documentation.
  • Assist with corporate travel arrangements, including booking flights, accommodations, and transportation.
  • Manage high-level correspondence, including emails, memos, and reports, ensuring timely responses and follow-ups.
  • Coordinate with various internal departments and external stakeholders on behalf of the CEO, managing projects and deadlines.
  • Handle sensitive and confidential corporate documents with the utmost discretion.
  • Provide administrative support such as expense reports, invoice processing, and procurement tasks.

Personal Assistant (50%)

  • Manage the CEO’s personal calendar, including family events, appointments, and personal travel.
  • Oversee personal financials such as bill payments, credit card reconciliations, and expense tracking.
  • Assist with personal errands, including shopping, gift purchases, and organizing personal events or gatherings.
  • Ensure the CEO's personal preferences and needs are seamlessly integrated into both their professional and personal life.

Key Qualifications:

  • Bachelor’s degree or equivalent experience in business administration or related field preferred.
  • 2-5+ years of experience in a similar Executive Assistant or Personal Assistant role, ideally supporting C-suite executives.
  • Exceptional organizational and multitasking skills, with the ability to prioritize tasks effectively.
  • Discretion and professionalism when handling confidential information.
  • Strong communication skills, both written and verbal, with the ability to liaise with high-profile individuals.
  • Proficiency in Microsoft Office Suite, Google Workspace, and project management tools.
  • Ability to adapt quickly to the CEO’s preferences and provide anticipatory service.
  • Must be comfortable working in a fast-paced and sometimes unpredictable environment.
