A high-profile plaintiff's personal injury law firm, located in Manhattan's Financial District, is seeking a seasoned and well-experienced Personal Assistant/Executive Assistant to support the CEO. This position's duties will be split as 60% Personal Assistant and 40% Executive Assistant.

Responsibilities:
  • Scheduling and Calendar Management: Manage the CEO's business and personal calendars, ensuring seamless coordination and timely scheduling.
  • Gatekeeper and Communication: Act as the first point of contact for the CEO, screening and vetting all phone calls, emails, and messages.
  • Compliance and Reporting: Produce regular compliance reports to facilitate the CEO's ability to effectively lead the firm.
  • Liaison and Coordination: Liaise directly with various doctor's offices and medical facilities to ensure smooth communication and coordination.
  • Task Management: Enter the CEO's tasks into Outlook and Asana to ensure timely completion and effective staff management.
  • Personal Errands and Projects: Run various personal errands and perform ad hoc projects as needed.
  • Documentation and Communication: Draft slides, meeting notes, and documents, and manage contacts in Outlook.
Requirements:
  • Education: Bachelor's Degree Required
  • Experience: At least 4 years of proven work experience as a Personal Assistant and at least 7 years of relevant experience supporting high-level executives.
  • Language: Fluency in Spanish required
  • Skills: Proficient in Microsoft Office suite, well-organized, detail-oriented, ability to multi-task with great follow-up skills, strong interpersonal and written and verbal communication skills, experience in managing multiple priorities, administrative coordination, and logistics.
  • Flexibility: Must be able to work flexible hours and commit to confidentiality.
