The New York State Coalition Against Sexual Assault (NYSCASA) is a prominent non-profit organization committed to preventing sexual violence and supporting survivors across the state. Our mission is to advocate for the rights and needs of all survivors, promote comprehensive prevention strategies, and foster a culture that condemns sexual violence.
NYSCASA understands sexual violence as a social justice issue and works to prevent and respond to sexual harassment, abuse, and assault within this framework. Position Summary
The Executive Assistant is responsible for completing various clerical-related tasks that assist with the organization's and the Executive Director's day-to-day operations. The Executive Assistant's role is to support NYSCASA’s staff and Executive Director with administrative projects, expediting work results while upholding organizational values.
Primary Duties:
Communication & Coordination:
• Answer agency phones, assist callers, and provide information and referrals to victims, survivors, member programs, and the public.
• Screen and direct phone calls and correspondence, ensuring accurate message delivery.
• Welcome organizational guests by greeting them in person or on the phone, and directing inquiries appropriately.
Administrative Support:
• Perform administrative tasks such as filing, scanning, and processing daily mail.
• Maintain and organize databases of organizational contacts (members, donors, colleagues) and inventory/equipment tracking systems in compliance with funder requirements.
• Generate, send, and track donor thank-you letters and related communications.
• Oversee the lending resource library, including purchasing, cataloging, lending, and tracking materials.
Executive Assistance:
• Act as the primary point of contact for the Executive Director, managing information flow, calendar, and meeting setups.
• Track and report the Executive Director’s daily, weekly, monthly, and quarterly expenses.
• Handle sensitive matters with the utmost confidentiality and discretion.
• Prepare Word, Excel, PowerPoint presentations, agendas, reports, and other documents to support organizational objectives.
• Arrange travel and accommodations, ensuring all logistics are seamlessly managed.
• Provide comprehensive administrative support to the Board of Directors and Executive Director.
Compliance & Reporting:
• Collect, review, edit, and submit accurate progress narrative reports prepared by staff to funders on time.
• Ensure compliance with funding requirements by systematically collecting reports, backup documentation, and other necessary items from grantees
• Maintain well-organized, up-to-date files.
Special Projects & Miscellaneous:
• Conduct research, collecting and analyzing information in advance.
• Complete ad-hoc projects and duties as assigned.
• Organize complex calendars and schedules, proactively resolving scheduling conflicts or issues.
Preferred Qualifications
To perform this job successfully, an individual must be able to satisfactorily perform each essential duty. The requirements listed below are representative of the knowledge, skill, and/or ability required.
• High School Diploma and/or higher degree, with 3-5 years of relevant experience, required.
• Commitment to and understanding of addressing sexual violence, anti-oppression work, racial justice, and other social justice issues.
• Strong written, verbal, and interpersonal communication skills.
• Attention to detail.
• Prior experience with database management and data entry.
• Professional phone mannerisms.
• Proficiency in Microsoft Office products, Adobe Acrobat, and Outlook.
• Ability to be responsive and adapt to changing needs.
• Must be able to lift basic office equipment up to 20lbs, as needed.
• Ability to work independently and be self-motivated, with a positive and professional approach to management.
• Outstanding organizational and time management skills.
• Ability to manage multiple assignments simultaneously.
