Company Overview:

Our client is seeking a highly organized and proactive Office Manager / Receptionist to be the first point of contact for their company. You will be responsible for managing the front desk operations and ensuring the smooth running of the office environment. Your role will be pivotal in creating a positive and professional image for the company. This is an exciting role to join a dynamic team within a top-tier firm and play a key role in supporting the company’s growth and success.

Responsibilities:

· Greeting and welcoming visitors in a courteous and professional manner.

· Answering and directing phone calls to the appropriate person or department.

· Managing incoming and outgoing mail, packages, and deliveries.

· Maintaining a tidy and organized reception area.

· Scheduling appointments and managing calendars for executives and team members.

· Assisting with administrative tasks such as data entry, filing, and document preparation.

· Coordinating office events, meetings, and conferences as needed.

· Ordering office supplies and managing inventory levels.

· Assisting with travel arrangements and accommodations for staff and clients.

· Supporting HR functions such as onboarding new employees and maintaining personnel records.

· Collaborating with other departments to ensure effective communication and coordination.

· Handling sensitive and confidential information with discretion and professionalism.

· Troubleshooting basic IT issues and coordinating with the IT department for resolutions.

· Performing other duties as assigned to support the overall operation of the office.

Qualifications:

· Bachelor's Degree - additional certification or training in office management/administration is a plus.

· Proven experience as an office manager, receptionist, or similar role.

· Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

· Excellent communication skills, both verbal and written.

· Strong organizational and multitasking abilities.

· Attention to detail and accuracy in work.

· Ability to work independently with minimal supervision.

· Friendly and professional demeanor with a customer-focused approach.

· Familiarity with basic office equipment such as printers, copiers, and fax machines.

· Knowledge of office protocols and procedures.
