About the Role
As the Office Manager, you will play a key role in ensuring the day-to-day functionality of our office. The successful candidate will be responsible for overseeing administrative tasks, managing office facilities, and providing support to various departments. We are looking for an organized and detail-oriented professional with excellent communication and leadership skills.
Responsibilities
Administrative Support:
Provide administrative assistance to various teams, including managing correspondence, handling phone calls, and coordinating meetings.
Support employees with office-related needs and ensure a positive work environment.
Facility Management:
Oversee the overall appearance and functionality of the office space, including workspace organization, cleanliness, and maintenance.
Coordinate repairs, renovations, and office equipment purchases as needed.
Vendor and Supplier Coordination:
Manage relationships with office vendors and suppliers, negotiating contracts and ensuring cost-effectiveness.
Order and maintain office supplies, equipment, and other necessary items.
Event and Meeting Coordination:
Coordinate and organize company events, meetings, and conferences.
Prepare meeting spaces, schedule appointments, and assist in creating presentations when necessary.
Health and Safety Compliance:
Implement and oversee health and safety protocols in compliance with company and legal standards.
Coordinate emergency response procedures and drills.
Onboarding and Orientation:
Assist in the onboarding process for new hires, including workspace setup and orientation.
Maintain accurate and up-to-date records related to office access and facilities.
Budget Management:
Assist in managing the office budget, tracking expenses, and identifying cost-saving opportunities.
Prepare regular reports on office expenditures.
Qualifications:
Local to the Hoffman Estates, IL area
Proven experience as an office manager or in a similar administrative role.
Strong organizational and multitasking skills.
Excellent communication and interpersonal abilities.
Proficiency in Microsoft Office Suite and other relevant software.
Ability to handle confidential information with discretion.
