Overview


The Personal Assistant will be responsible for a broad variety of personal and administrative tasks. This role involves managing personal and professional engagements, creating organizational solutions for files and records, planning events, and managing a personal residence. This role requires a high level of discretion, adaptability, and excellent communication skills.


You will effectively run investor, serial entrepreneur, public speaker, and content creator Sophia Amoruso’s day to day, making her life much easier. You'll flex your organizational skills, attention to detail, and experience supporting a busy executive.


We're looking for someone who can dive into the way things are done and make it even better. Can you help make her day-to-day easier? Save her time? Trim down her to-do list? Can you help keep unimportant stuff off her desk, sort out her tasks, and create systems that make her day run smoother? We're looking for someone who's ready, really good at what they do, and genuinely excited about supporting Sophia.


We are looking for someone who will be able to complete domestic and administrative tasks requiring 40 hours per week. You must be based in Los Angeles, CA. This position will also require flexibility including working some occasional evenings and weekends. We run several events per year that may require your in-person assistance.


Who You’ll Work With

This is a full time role that reports directly to CEO Sophia Amoruso. You’ll also work with a small team at her two businesses, Trust Fund and Business Class.


You will also liaise with personal and professional contacts, often high-profile and involving sensitive information. This will include lawyers, investors, content creators, CEOs, bookkeepers, friends, and family.


Responsibilities


  • Managing business and personal tasks as needed. This will include scheduling and calendar management, personal assistant and household tasks and errands, travel plans, gifts, correspondence and similar tasks.
  • Meeting and event planning including reservations, meals, entertainment, on-site logistics and anything else related to intimate dinner parties, casual gatherings, and large formal affairs. Coordinate with all vendors to ensure alignment with client specifications and seamless execution of events.
  • Coordinate reservations, meals, and travel.
  • Complete day-to-day errands and situational requests including shopping, online returns, and shipping packages.
  • Research, hire, and manage household vendors, as well as handle payments.
  • Occasionally accompany CEO in meetings and on travel.
  • Act as go-to resource for the CEO, available throughout the work day and occasional off-hours as needed.
  • Create organizational solutions for computer files; business, financial and household records.
  • Maintain personal residence; schedule vendors, oversee repairs, and approve bill payments.
  • Care for 3 tiny poodles, including walking, vet appointments, and grooming.
  • Be available some weekends.
  • Liaise with internal and external stakeholders across two companies
  • Social media support
  • Coordinate wardrobe shopping and glam for speaking appearances, events, and social media shoots.
  • Manage personal thank-yous, gift buying, wrapping, and shipping.
  • Manage personal and professional rolodex.
  • Conduct research as necessary.


Qualifications


  • Be discrete and trustworthy: you will often be party of confidential information.
  • Resourceful, ability to work independently, finding solutions with sometimes limited information.
  • Ability to “manage up” to keep a busy executive on time and focused on priorities.
  • Excellent written and verbal communication skills.
  • Proficiency with online communication and scheduling tools.
  • Ability to coordinate projects and keep track of details.
  • Notion, Instagram, TikTok, Google Drive, Google Docs, Gmail, Canva, Zoom
  • Be flexible, dependable, and adaptable.
  • Possess excellent oral and written communication skills.
  • Exhibit strong organiaational skills and the ability to multitask, letting no task or text go ignored.
  • Have the ability to be proactive and take the initiative.
  • Lead with tact and diplomacy.
  • Live within the central Los Angeles area
  • Own an insured vehicle.
