Receptionist



Job Description:

We are seeking a professional and customer-oriented Receptionist to join our team at a prominent real estate development and property management firm in New York. The ideal candidate will be the first point of contact for clients, visitors, and vendors, representing our company with professionalism and hospitality.


Responsibilities:


  • Greet clients, visitors, and vendors in a courteous and welcoming manner.
  • Answer incoming calls and direct them to the appropriate department or individual.
  • Manage and maintain the reception area, ensuring cleanliness and organization.
  • Handle incoming and outgoing mail and packages, including FedEx shipments.
  • Schedule appointments and manage conference room reservations.
  • Assist with administrative tasks such as filing, data entry, and document preparation.
  • Provide administrative support to various departments as needed.
  • Maintain confidentiality of sensitive information and adhere to company policies and procedures.
  • Monitor and maintain office supplies inventory, order supplies as needed, and keep track of inventory.
  • Perform ad hoc projects and tasks as assigned by management.
  • Print documents as needed and learn to operate and print reports using MRI software.
  • Order lunches for employees on Fridays.
  • Wear multiple hats and assist with various tasks to ensure smooth office operations.


Requirements:

  • High school diploma or equivalent; college degree preferred.
  • Previous experience in a receptionist or administrative role preferred.
  • Excellent verbal and written communication skills.
  • Professional demeanor with a customer service-oriented attitude.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Knowledge of real estate industry terminology and practices is a plus.
  • Flexibility to work occasional evenings or weekends for special events or projects.
