Our client, a well-established engineering firm, is looking for a skilled Operations Assistant to join their Beaverton, OR team. This position offers an exciting opportunity to contribute to a fast-paced environment, supporting the team with diverse administrative tasks and helping maintain a smooth flow of operations. The ideal candidate will have excellent organizational abilities and a strong proactive mindset, ready to jump in and support the team wherever needed.

Key Responsibilities

  • Team Support: Be the go-to person for general inquiries, helping the team find solutions or connecting them to the right resources.
  • Scheduling & Coordination: Organize meetings, manage calendars, and arrange all necessary logistics, from spaces to materials.
  • Travel Planning: Coordinate travel arrangements, ensuring all aspects from flights to transportation are booked and within budget.
  • Technical Assistance: Troubleshoot basic tech issues, working with the IT department when necessary to resolve more complex concerns.
  • Facility Management: Handle office supply orders, oversee equipment maintenance, and manage vendor relationships to keep the office running smoothly.
  • Onboarding & Offboarding Support: Manage the procurement and setup of equipment for new hires, and organize the return of assets when employees leave.
  • Vehicle Management: Maintain accurate records for company vehicle usage, ensuring proper tracking and assignment.
  • Project Assistance: Take part in various administrative projects, supporting the team's strategic objectives.

Qualifications

  • Problem Solver: A resourceful thinker who can assess situations and come up with effective solutions quickly.
  • Tech-Savvy: Proficiency with MS Office Suite, including Outlook, Excel, Word, and SharePoint.
  • Adaptable: Comfortable working both independently and as part of a team, adjusting as needed to meet shifting priorities.
  • Fast Learner: Able to quickly get up to speed with new tools or software, and assist others in adapting to them.
  • Detail-Oriented: Strong organizational skills with an ability to juggle multiple tasks while keeping everything on track.
  • Communicative: Excellent verbal and written communication skills to keep everyone in the loop and maintain professionalism.
  • Bonus: Experience in financial or accounting tasks is a plus but not required.
